The Development Associate provides essential administrative support to the development team, helping advance MacPhail’s philanthropic initiatives. Key areas of support include individual giving, institutional giving, events, prospect research and operations. This role coordinates events and mailings, and ensures the smooth, efficient operation of fundraising processes and systems that strengthen donor and partner engagement. JOB SUMMARY The Development Associate is responsible for providing administrative support to the development department. The key responsibilities and essential functions of this role include: Administrative support for the development department, including the Vice President of Development, major gifts, institutional giving, events, annual giving and development operations Supporting calendar management and donor meeting preparation for the Vice President, including arranging logistics and ensuring all necessary materials are prepared in advance Scheduling meetings and coordinating communications and meeting minutes/summaries for the Development Committee of the Board Managing inventory of development print materials and event supplies as needed RESPONSIBILITIES and ESSENTIAL FUNCTIONS Event Coordination: Coordinating comprehensive event planning efforts, including small and midsize donor gatherings and meetings, as well as large-scale events, such as the premier annual fundraiser(s) and cultivation events, in close partnership with the team Distributing targeted event-related email communications Development Operations: Fostering a responsive donor service environment by promptly addressing inquiries and liaising with the development team to provide information to donors, board members and volunteers, as needed Utilizing Donor Management System to help maintain donor data with precision, and working closely with the database specialist to track, manage and report out on event registration data, as needed Timely review and dispatch of gift and pledge acknowledgements to donors and partners, ensuring accuracy and maintaining a swift and personalized communication standard Supporting the CEO, Vice President, and Development Team with donor research and prospect list updates through the utilization of screening tools Working closely with the Database Specialist and Finance Team to serve as an alternate on producing the Daily Gift Report, as needed Maintaining an ethical approach to fundraising, including high levels of discretion when necessary QUALIFICATIONS Education: High School Degree or equivalent, required Undergraduate Degree, preferred Experience: Two – Four years of relevant experience, preferred Experience in Microsoft Office Suite, required Experience with Donor Management Databases, preferred Experience with Digital Email Communication Platforms, preferred Skills & Abilities: Strong organizational and time-management skills Strong communication skills, written and verbal Strong attention to detail Willingness to take initiative Ability to collaborate effectively Demonstrated cultural competency skills Commitment to inclusive working and learning environment MacPhail Center for Music is an equal opportunities employer and welcomes applications from diverse candidates.
