Position Summary:
The Property and Sales Coordinator plays a vital role in the daily operations of Tamarack Property Management (TPM), supporting both maintenance and homeowner services functions. This position is responsible for coordinating work orders, facilitating communication across departments, handling billing and purchase orders, and providing high-level support to homeowners and internal stakeholders.
In addition, this role is responsible for promoting and selling the resort’s rental program to property owners, effectively communicating program benefits, guiding them through the enrollment process, and serving as a liaison between homeowners and rental management operations.
The ideal candidate must be detail-oriented and capable of managing multiple responsibilities while maintaining a high level of professionalism, efficiency, and customer service. This role requires the ability to work independently and collaboratively while supporting the broader goals of the Property Management, Maintenance, and Rental Sales teams.
Essential Duties and Responsibilities:
Actively promote the resort’s rental program to current and prospective property owners.
Educate homeowners on the benefits, features, and requirements of enrolling in the rental program.
Serve as the main point of contact for owners throughout the rental program onboarding process.
Coordinate with the Rental and Marketing teams to ensure owners have the information and materials they need to make informed decisions.
Track sales leads, conversions, and provide regular reporting on rental program engagement.
Assist with the creation and delivery of presentations or materials used to support sales efforts.
Develop and maintain strong relationships with property owners to support long-term retention and satisfaction with the rental program.
Perform other duties as assigned by management.
Assign, track, and follow up on maintenance work orders.
Communicate work order status to internal departments (e.g., F&B, Front Office, Housekeeping).
Maintain a service log tracking system time-to-completion and efficiency for all maintenance tasks.
Create and manage purchase orders; track delivery and usage of supplies.
Process and track billing for departments, homeowners, and the HOA.
Upload receipts and invoices into SMS Host in a timely manner.
Collaborate closely with Tamarack Management Association (TMA) to ensure home standards.
Communicate with homeowners through calls and emails; ensure satisfaction with services.
Be knowledgeable about resort services and functions to assist homeowners.
Cross-train in all areas of the Homeowner Services department; cover in the absence of the Homeowner Relations Manager.
Provide excellent customer service and maintain positive, timely communication with all stakeholders.
Handle stressful situations in a calm and professional manner.
Display foresight and proactively address potential issues before they escalate.
Assist in housekeeping when busy and inspect rooms.
Education and/or Experience:
High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred.
2+ years of experience in maintenance coordination, property management, or administrative support.
Requires knowledge of:
Computer hardware and common office equipment
Word processing, spreadsheet, and database software (preferably Microsoft Office)
Business letter writing, forms, and office procedures
Business English, including grammar, vocabulary, and punctuation
Filing systems and administrative organization
Certificates, Licenses, and Registrations:
Valid Driver’s License
required. Driving record must meet the standards of the insurance provider. Language Skills: Ability to read, analyze, and interpret financial and legal documents. Able to respond to customer inquiries and complaints in a professional manner. Strong communication skills to effectively present information to management, homeowners, and public groups. Mathematical Skills: Ability to apply concepts such as fractions, percentages, ratios, and proportions to real-world tasks. Basic understanding of probability and statistical reasoning is a plus. Reasoning Ability: Able to define problems, gather and evaluate data, and draw logical conclusions. Strong decision-making and problem-solving skills. Physical Demands: The physical demands described here are representative of those required to perform this job successfully. Reasonable accommodations may be made for individuals with disabilities. Ability to lift, push, pull, and carry items weighing up to 50lbs. Ability to sit or stand for extended periods. Capable of working in confined spaces when necessary.
