We are seeking a detail-oriented Administrative Assistant I to support our client, the Department of Transportation (DOT) in Washington, DC. This is an onsite position that requires 5 days in the office.
About the Role We are seeking a highly organized and detail-oriented Administrative Assistant I for the US Department of Transportation Federal Highway Administration (FHWA MiST) to provide administrative and clerical support to our team. This role supports smooth office operations, communications, staff support, and coordination of meetings and events. The ideal candidate will demonstrate strong organizational skills, a professional demeanor, and the ability to manage multiple priorities in a fast-paced environment.
Responsibilities
Greet and assist visitors, answer incoming calls, and direct inquiries to the appropriate staff.
Manage incoming and outgoing mail services.
Perform data entry to update and maintain accurate records in agency systems.
Prepare and type correspondence, reports, records, and technical documents, including charts, tables, and presentations.
Ensure accuracy, proper formatting, and compliance with procedural requirements for all documents.
Arrange and coordinate meetings, conferences, webinars, and teleconferences—including scheduling, reserving rooms, assembling materials, and distributing information.
Schedule staff appointments and coordinate calendars for office staff, collaborating with internal and external offices as needed.
Maintain and organize office files in compliance with statutory record-retention requirements.
Update time and attendance records in the agency’s system and resolve discrepancies.
Update and monitor SharePoint sites, internal/external web content, and Outlook information for office accuracy.
Support fleet management by coordinating services, maintaining reports, and liaising with GSA for government vehicles.
Prepare, assemble, and distribute training and presentation materials, including setting up training rooms and creating certificates.
Assist with scheduling interviews when needed.
Qualifications
High school diploma or equivalent; associate’s degree preferred.
Previous experience in an administrative support role is strongly preferred.
Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and SharePoint.
Strong organizational skills and attention to detail.
Excellent verbal and written communication skills.
Ability to handle confidential information with discretion.
Strong customer service and interpersonal skills.
Experience with timekeeping or fleet systems is a plus.
Physical Requirements
Prolonged periods of sitting at a desk and working on a computer.
Must be able to lift up to 15 pounds at times.
Ability to maintain a stationary position to operate a computer and other office equipment.
Must be able to identify, analyze, and assess detailed information.
Ability to communicate effectively and exchange information clearly with others.
