Overview
The Benefits Coordinator is responsible for the day-to-day administration of employee benefit programs, ensuring accurate enrollment, timely communication, and excellent customer service. This role partners with team members, vendors, and the People Operations team to support MedQuest Imaging’s total rewards strategy and deliver a positive employee experience. Responsibilities
Benefits Administration: Process benefit-related invoices, reconcile billing, and escalate discrepancies as needed. Manage HSA pending verification process, including outreach to team members and providing additional documentation to administrator as needed. Reconcile Stop-Loss held checks. Assist Accounts Payable team with reconciling inquiries. Manage benefit enrollments, changes, and terminations in HRIS. Audit data for accuracy and resolve discrepancies. Assist in the planning and coordination of annual open enrollment. Review and process benefits changes in the HRIS. Ensure elections adhere to benefits policies and gather any documents as necessary, including Evidence of Insurability forms. Manage shared Benefits inbox and respond to team members and leader inquiries, maintaining a 24-hour response time window. Serve as first point of contact for team members questions regarding benefit programs. Assist Benefits Manager to resolve employee issues and ensure proper administration between vendors and brokers. Leave Administration
Assist in the administration of employee leaves of absence, including FMLA, ADA, and other company-sponsored leave programs. Coordinate with the external leave administrator to manage assigned leave cases. Serve as a point of contact for team members and leaders regarding leave inquiries and processes, providing guidance and support throughout the leave period. Communicate with Payroll to provide payment information for team members on leave. Assist team members by reminding them to review their benefits elections within a timely manner if the leave qualifies as a life event change. Monitor benefit premiums during leave periods, communicate repayment plans, and coordinate with Payroll to collect any missed premiums from team members upon their return to work. Ensure compliance with COBRA regulations. Assist the People Operations leadership with maintaining the most up-to-date documents on the intranet and within the HRIS. Maintain confidentiality and integrity of employee information. Document new and updated processes and maintain accurate reference guides. Other
Keep leadership informed of critical issues. Assist with due diligence, merger and acquisition, and audit activities as needed. Assist with special projects in Total Rewards and People Operations as assigned. Qualifications
Education: Associate or bachelor’s degree in human resources, business administration, or related field preferred; high school education or equivalent required. Prior Experience: Prior experience in HRIS management, benefits administration and leave of absence administration. Preferably 4+ years. Special Qualifications: Strong proficiency in Microsoft Office Suite, particularly Excel, Word, and PowerPoint; excellent organizational skills and attention to detail; strong communication skills; maintain confidentiality and integrity of employee information; self-motivated with the ability to learn and execute processes with limited guidance.
