Position Summary
The Department of Student Conduct Advocacy and Accountability is seeking a competent and efficient individual with great initiative, diligence, sound judgment, and excellent interpersonal skills. Candidates should possess a high skill level with Microsoft Office, Publisher, and webpage maintenance and other new media communications technologies. The position’s responsibility involves budget reconciliation, expenditures, and other administrative duties. This position reports to the Assistant Dean of the College for Student Conduct.
Required Qualifications
Minimum of HS Diploma required; College Education preferred; graduate of a clerical/secretarial training school highly desirable
Minimum of 5 years of work experience in an office environment
Experience in an academic setting or similar setting preferred
Specialized experience with payroll, budget monitoring, and the maintenance of bookkeeping records associated with office accounts

Required Knowledge, Skills, and Abilities
Must possess working knowledge of MS Office Suite (i.e., Excel, Microsoft Outlook, PowerPoint Publisher, Student Conduct Data system)
Need to be able to work in a fast-paced environment and handle multiple high-level priorities.
Ability to identify opportunities to create and improve systems without direction
Must have knowledge of maintaining web pages/online content as well as social media platforms such as Snapchat, Facebook, Twitter, etc.
Must possess high discretion and confidentiality and exercise sound judgment
Must possess outstanding customer service and conflict resolution skills
Physical Demands
This position requires frequent walking, standing, talking and sitting at a desk for long periods of time
Ability to work evenings and weekends for special events as necessary
Ability to use mobile phones, smart devices, and copiers are necessary in the performance of this position
Sorts and distributes mail, greets, screens and directs faculty, students, staff, administrators and the general public as needed
Maintains and monitors the unit budgets, supplying data and statistics to the department Assistant Dean of the College for Student Conduct for budget preparation
Insures the office always operates professionally, smoothly, and efficiently
Supervises activities and prepares payroll records of student employees
Prepares travel requests and vouchers, making necessary arrangements such as procuring car, plane tickets, room reservations, etc.
Ability to maintain and facilitate departmental interactive web page
Answers telephones and responds to inquiries and takes accurate phone messages
Orders supplies and equipment, and maintains inventory
Handles memos, letters, and office correspondence, reports, etc. most of which are of a complex or confidential nature
Process Bar and graduate school evaluation letters for current and former students
Stays abreast of legal and other matters in higher education relative to student conduct systems and applies information as appropriate
Responsible for supplying specialized assistance to the Chairperson of student conduct committees/councils
Performs data entry for Banner System (purchase orders, requisitions, travel, office supplies, student academic holds, etc.)
Operates and/or supervises the operation of all office equipment including typewriter, microcomputer, word processor, various printers, calculator, copiers, etc.
Serves as needed as Secretary for various committees, takes minutes, distributes information, etc.
Think critically and make clear, well-reasoned and timely decisions and collaborate with others as necessary
Be a strategic and innovative thinker who can bring value to internal clients and find creative and practical solutions to complex problems
Prepares and submits check requests, purchase requisitions, inter-account requisitions and other college forms as necessary
Schedules and arranges meetings, makes room assignments for special events, and schedules rooms for use for office needs
Records, reconciles and maintains accounts
Collaborates in the development and distribution of office literature and brochures, using publishing software and replenishes the stock as necessary
Plans and organizes meetings, retreats, and special functions for the office
Assists the Assistant Dean of the College for Student Conduct in preparing various reports such as the Annual Report
Works with faculty and staff to maintain and retrieve all records related to programs
Edits and reviews and answers routine memos and correspondence from Assistant Dean of the College for Student Conduct and other faculty and staff
Attends workshops for the purpose of learning new programs added to the Banner System or for improving the administration of the department
Serves as office liaison handling communication of information, human resources paperwork, materials, key requests, and other miscellaneous details in the office
Performs other job-related duties as assigned by the Assistant Dean of the College for Student Conduct
