Overview The Department of Student Conduct Advocacy and Accountability is seeking a competent and efficient individual with initiative, diligence, sound judgment, and excellent interpersonal skills. The position requires strong Microsoft Office, Publisher, and web page maintenance skills, and familiarity with new media communication technologies. The role includes budget reconciliation, expenditures, and other administrative duties. This position reports to the Assistant Dean of the College for Student Conduct. Required Qualifications Minimum of HS Diploma required; college education preferred; graduate of a clerical/secretarial training school highly desirable Minimum of 5 years of work experience in an office environment Experience in an academic setting or similar setting preferred Specialized experience with payroll, budget monitoring, and the maintenance of bookkeeping records associated with office accounts Must possess working knowledge of MS Office Suite (Excel, Outlook, PowerPoint, Publisher) and the Student Conduct Data system Ability to work in a fast-paced environment and handle multiple high-level priorities Knowledge of maintaining web pages/online content and social media platforms (e.g., Snapchat, Facebook, Twitter) Discretion and confidentiality with sound judgment Outstanding customer service and conflict resolution skills Preferred Qualifications Education/experience aligned with the role as described above Physical Demands Frequent walking, standing, talking, and sitting at a desk for long periods Ability to work evenings and weekends for special events as necessary Ability to use mobile phones, smart devices, and copiers Essential Duties/Responsibilities Sorts and distributes mail; greets, screens, and directs faculty, students, staff, administrators, and the general public Maintains and monitors unit budgets, providing data and statistics for budget preparation Ensures the office operates professionally, smoothly, and efficiently Supervises activities and prepares payroll records of student employees Prepares travel requests and vouchers and arranges related logistics Maintains and facilitates departmental interactive web page Answers telephones and responds to inquiries, taking accurate messages Orders supplies and equipment and maintains inventory Handles memos, letters, and confidential office correspondence Processes bar and graduate school evaluation letters for current and former students Stays informed of legal and other higher-education matters related to student conduct systems Provides specialized assistance to the Chairperson of student conduct committees/councils Performs data entry for Banner System (purchase orders, requisitions, travel, etc.) Operates and/or supervises office equipment Serves as secretary for committees, takes minutes, distributes information Think critically and collaborate with others to make timely, well-reasoned decisions Be a strategic and innovative thinker, delivering value to internal clients Prepares and submits check requests, purchase requisitions, inter-account requisitions, and other forms Schedules meetings and room use for office needs Records, reconciles, and maintains accounts Assists in developing and distributing office literature and brochures Plans meetings, retreats, and special office functions Assists in preparing reports such as the Annual Report Works with faculty and staff to maintain and retrieve records related to programs Edits and reviews routine memos and correspondence Attends workshops to learn new Banner System programs or improve administration Acts as office liaison handling communications, HR paperwork, materials, and other details Performs other duties as assigned by the Assistant Dean Note : Percentage Of Time, Seniority level, Employment type, Job function, and Industry information appear to be metadata in the original description and are retained in the structure below for clarity.
