AW Property Co. (AW) is a fully integrated real estate investment company that specializes in acquiring and enhancing medical office properties in major markets throughout the United States Sunbelt region. We are seeking a Property Administrator to provide administrative support to our real estate services department, ensuring the smooth administration of our daily operations.
The Property Administrator will be responsible for handling a variety of administrative tasks, including document management, customer service, and office management, including light office work, providing general administrative support and answering and managing all incoming calls. This position requires attention to detail, accuracy, timeliness, professional integrity and the ability to work collaboratively with internal and external real estate professionals.
Qualifications:
Must be organized, possess strong communication skills and have a courteous customer service manner. Must have the ability to exercise prudent judgment in the absence of supervisory personnel and demonstrate the ability to prioritize, multi-task and utilize resources to execute tasks within a deadline-oriented environment. The position requires knowledge of general office procedures and proficiency in Microsoft Office Suite (including Outlook, Word, Excel, PowerPoint) and the ability to operate standard office equipment. Yardi and/or MRI experience a plus. Job Responsibilities: Operations: Act as the first point of contact for clients and tenants, handling inquiries and providing information as required. Manage incoming and outgoing mail, including email correspondence, to ensure prompt and accurate responses to all queries. Dispatch and track routine work orders to maintenance and janitorial staff. Maintain and monitor key control and coordinates vendor/contractor services as appropriate. Ensure on-going contracted vendor services are performed on schedule, and that services meet contract specifications. Assist with property inspections as assigned. Respond to emergency situations in accordance with appropriate policies & procedures. Adhere to all safety standards, policies & procedures, and codes of conduct. Perform other general office duties and special projects as assigned. Compose routine professional correspondence using accurate spelling and word usage. Assist with move-in/move out procedures, tenant improvement coordination, tenant relations, etc. Collaborate with Marketing team on quarterly tenant social and holiday events. Assist manager in implementing a tenant visitation program and maintaining a close relationship with contacts ensuring timely resolution of tenant requests. Maintain organized and updated tenant files and records. Finance and Accounting: Assist manager with annual budgeting process, to include re-bid of service contracts. Assist manager with the annual capital plan. Collaborate with engineering and accounting to produce monthly invoices for tenant utility recoveries and billbacks. Review and codes invoices for manager review and submit to accounts payable. Leasing: Assist real estate services team and ensure that all vacant space is in move-in ready condition.
