Overview
The Accounts Receivable Specialist plays a vital role in supporting the financial operations of a real estate property management company. This position ensures timely and accurate collection of rent payments, tenant charges, and other receivables across residential and commercial properties. The ideal candidate is detail-oriented, proactive, and experienced in property management accounting systems and tenant communications. Responsibilities
Generate and distribute rent statements, lease-related invoices, and other tenant charges. Monitor tenant ledgers to identify outstanding balances and initiate follow-up on delinquencies. Post payments received via check, ACH, or online portals to tenant accounts. Reconcile discrepancies between lease agreements, tenant records, and payment activity. Maintain accurate records of all accounts receivable transactions across multiple properties. Communicate with tenants regarding rent payments, late fees, and billing inquiries. Collaborate with property managers to resolve tenant disputes and ensure lease compliance. Coordinate with leasing and operations teams to verify move-in/move-out charges and adjustments. Reporting & Analysis
Prepare aging reports, rent roll summaries, and cash flow forecasts for property portfolios. Track collection performance and provide insights to management on trends and risks. Support monthly and annual financial close processes, including reconciliations and reporting. Compliance & Documentation
Ensure adherence to lease terms, company policies, and applicable housing regulations. Maintain organized billing systems and documentation for audits and internal reviews. Assist with documentation for legal proceedings related to collections or evictions. Qualifications
Education & Experience
Associate’s or Bachelor’s degree in Accounting, Finance, or related field. 2–5 years of experience in accounts receivable or property management accounting. Experience with Yardi or similar property management software (e.g., MRI, RealPage). Skills
Strong analytical and problem-solving abilities. Excellent verbal and written communication skills, especially with tenants and property teams. High attention to detail and accuracy. Ability to manage multiple priorities across diverse property types. Proficiency in Microsoft Excel (VLOOKUPs, pivot tables) and financial reporting tools. Preferred Attributes
Customer service orientation with a professional and empathetic demeanor. Familiarity with lease structures, CAM reconciliations, and tenant billing cycles.
