Job Title : Transaction Coordinator, Investments
Primary Responsibilities The Transaction Coordinator, Investments is responsible for supporting the acquisition and disposition of single-family rental homes for a private equity Real Estate Investment Trust (REIT). This role manages contracts, coordinates with stakeholders, ensures compliance, and facilitates timely and accurate closings.
Qualifications and Skills
High School diploma or equivalent (required).
Experience reconciling and balancing closing documents.
Ability to monitor pipeline activity and manage quality control.
Strong critical thinking, judgment, and communication skills to address issues proactively.
Familiarity with electronic signing platforms.
Real estate agent/broker license (preferred).
Fair Housing certification (preferred).
Experience as a title/escrow officer, closer, processor, or real estate paralegal (recommended).
Notary license required within 6 months of start date.
Proficiency in Microsoft Word, Excel, and PowerPoint (intermediate; advanced preferred).
Strong written and verbal communication skills.
Excellent customer service skills in a fast-paced environment.
Highly detail-oriented with the ability to produce accurate work under deadlines and manage multiple priorities.
Ability to apply problem-solving concepts and work effectively in high-volume, data-driven environments.
Essential Job Functions
Manage financial and contractual matters with closing companies and real estate agents.
Set and manage expectations with stakeholders, addressing concerns and identifying areas for improvement.
Apply effective time management and judgment in daily closing operations.
Generate and deliver monthly deficiency reports on closing company and agent performance.
Partner with Investments, Asset Management, and Treasury teams on closing activities.
Ensure timely disbursement and receipt of funds.
Maintain quality control of all closing files, documentation, and correspondence.
Audit settlement statements to confirm accuracy with purchase agreements, property records, and applicable laws.
Oversee a working pipeline and ensure target close dates are met.
Adhere to compliance standards and stay current with policies and procedures.
Communicate proactively with all parties to coordinate closings.
Review, audit, and sign closing documents as required.
Collect and maintain post-closing documentation.
Recommend and implement technology or process improvements to enhance efficiency.
Train, mentor, and cross-train new staff or real estate agents as needed.
Conduct quality control reviews of deliverables.
Identify areas of strength and improvement within the Investment department, providing recommendations.
Participate in additional projects and assignments as directed.
Perform other duties as assigned by supervisor or leadership.
