Role Overview This role serves as the first point of contact for clients and plays a key role in overseeing client intake, ensuring accurate and professional communication of client information to attorneys. Beyond reception responsibilities, the Legal Administrator will manage schedules, support office operations, and assist with the use of legal case management systems. The ideal candidate will bring strong administrative experience, organizational skills, and professionalism, contributing to the efficiency of our office and the success of our legal team. Key Responsibilities Client Intake and Communication – Act as the first point of contact for potential clients. Conduct intake calls/emails to gather preliminary information on client needs and current situations, and accurately relay this information to attorneys. Reception & Front Office – Greet clients and visitors professionally, manage phone lines and email inquiries, and ensure all clients experience a professional and welcoming environment. Scheduling and Calendar Management – Coordinate and manage attorney and staff calendars, schedule consultations, meetings, and business trips, and ensure effective time management across the office. Case Management System Support – Utilize legal case management software (Clio or equivalent) to input, track, and maintain client and case information, ensuring accuracy and confidentiality. Office Administration – Oversee day-to-day administrative tasks such as mail processing, document preparation, filing, photocopying, scanning, and conference room coordination. Maintain an organized and professional office environment. Administrative Support – Provide proactive administrative support to attorneys and staff to ensure smooth office operations. Required Qualifications Post-secondary education required. Minimum 2-3 years in an administrative or legal support role (e.g., law firm receptionist, legal assistant, office administrator). Proficiency in Microsoft Office (Word, Excel, PowerPoint) and familiarity with case management systems (Clio, MyCase, or equivalent). Strong organizational skills with the ability to prioritize multiple tasks in a fast-paced legal environment. Excellent written and verbal communication skills, with professional phone and email etiquette. Client-focused, detail-oriented, and able to maintain confidentiality in handling sensitive information. Preferred Qualifications Prior experience in a law firm or legal environment.
