This hybrid role combines asset management support with paralegal expertise to ensure smooth lease administration, legal compliance, and portfolio performance.

Key Responsibilities

Lease Administration & Legal Support

Review, draft, and prepare lease agreements, amendments, assignments, and license agreements.

Prepare summaries and reports for management on lease status, upcoming obligations, escalations, and tenant compliance.

Maintain accurate records of critical dates such as renewal, termination, and option periods.

Maintain accurate and up-to-date lease files and abstract key provisions into databases.

Coordinate with legal counsel on disputes, evictions, and compliance matters.

Prepare estoppel certificates, SNDA agreements, and other tenant-related legal documents.

Support dispute resolution between tenants and property management when necessary.

Ensure compliance with lease terms and regulatory requirements.

Due Diligence

Assist in acquisitions, dispositions, and refinancing by compiling and reviewing due diligence materials, including title reports, surveys, environmental assessments, zoning compliance, and property condition reports.

Identify potential legal or operational risks associated with properties and flag issues to management.

Coordinate document requests and organize due diligence checklists to ensure timely closings.

Asset & Portfolio Management

Assist in developing and executing strategic asset management plans to maximize property value.

Review with the asset management team on budgeting, CAM reconciliations, and financial analysis for shopping centers.

Track lease expirations, renewals, and tenant performance, flagging key action items.

Conduct research on market trends, comparable properties, and investment opportunities.

Vendor & Tenant Relations

Coordinate and prepare legal documents relating to tenant and vendor contracts to ensure smooth operations.

Respond to tenant inquiries about lease administration and legal items on lease obligations and compliance matters.

Corporate Governance

Maintain corporate records for entities holding real estate assets, including organizational documents, entity filings, and annual reports.

Ensure compliance with regulatory requirements, corporate bylaws, and internal policies.

Assist with the preparation and filing of annual state and local reports.

Track ownership interests and changes in corporate entities associated with the portfolio.

Transaction Support

Serve as liaison between attorneys, brokers, property managers, lenders, and third-party vendors during property acquisitions, sales, or refinancing.

Prepare and organize closing documents, including closing binders and post-closing follow-up materials.

Coordinate signatures, notarizations, and recordation of key documents.

Support management in negotiating minor contractual changes and documenting approvals.

Portfolio Management

Maintain accurate and up-to-date databases for property records, contracts, and correspondence.

Manage digital filing systems to ensure easy retrieval of legal and operational documents.

Generate reports for management on property performance, compliance, and key dates.

Reporting & Documentation

Provide support in litigation preparation, audits, and corporate governance as needed.

Qualifications

Bachelor’s degree in Business, Real Estate, Legal Studies, or related field.

Paralegal certification is strongly preferred.

3+ years of experience in commercial real estate, paralegal work, or asset management.

Strong knowledge of commercial lease terms, real estate law, and property management practices.

Proficiency in Microsoft Office Suite (Word, Excel, Outlook); Yardi or Argus a plus.

Excellent organizational skills, attention to detail, and ability to manage multiple priorities.

Strong written and verbal communication skills with the ability to draft and review legal documents.

Ability to work independently and collaboratively in a team environment.

Pay: $70,000-$80,0000 per year
