Primary Responsibilities The Freight Claims Administrator will oversee the outbound freight transactions ensuring accurate and timely processing of freight billing. As with all positions at KeHE Distributors, we expect that all actions will be consistent with KeHE’s Mission, Vision, and Values.

Essential Functions

Access carriers in PCS, review each file to assess which shipments are completed.

Push completed shipments through for a US Bank (transportation solution) upload so carriers can match their invoices to corresponding shipment numbers.

Access US Bank to review the shipments that have been matched by the carriers.

Look for “approval required” or “audit exception” shipments, investigate and correct shipment discrepancies to secure final approval.

Authorize all qualified shipments.

Analyze shipments the carriers entered into US Bank that are unmatched.

Investigate and reconcile shipment discrepancies through research in various systems or communication with carriers and KeHE management.

Collaborate and share relevant information in Teams meetings with carriers, KeHE management, and US Bank representatives.

Analyze and report problems to carriers and management.

Train carriers in the freight pay process.

Connect carriers with appropriate US Bank contacts for systems training.

Daily reporting out of PCS and analysis out of US Bank to provide 3PL cost data to management.

Bi‑weekly meetings with US Bank team to assess current needs and review ongoing improvement projects.

Other duties and special projects as requested.

Minimum Requirements, Qualifications, Additional Skills, Aptitude

Excellent verbal and written communication skills.

Demonstrate ability to maintain high standards of accuracy and assure compliance with company and other applicable policies and procedures.

Well organized with the ability to research and problem solve.

Proficient in Microsoft Office software or related.

High energy level and excellent interpersonal skills.

Strong data entry skills with high rate of accuracy.

Education and Experience

High school diploma or equivalent.

Previous clerical experience.

Knowledge of operations and transportation functions preferred.
