We are seeking a highly organized, proactive, and customer-focused

Office Administrator

to help ensure the smooth day-to-day operation of our office. This role is the backbone of our workplace, providing general office support, administrative coordination, and cultural engagement that fosters a positive and inclusive environment. Responsibilities

General Office Support Maintain inventory of office supplies, snacks, and equipment. Greet and assist visitors, employees, and vendors in a professional and welcoming manner. Handle incoming and outgoing mail, packages, and deliveries. Assist with building access, key fobs, and security systems. Keep the office clean, organized, and presentable. Support office moves, seating assignments, and space planning. Coordinate and track maintenance requests and repairs. Administrative & Communication Tasks Manage shared calendars, conference rooms, and event space bookings. Track and complete work requests and service tickets. Send internal office updates, newsletters, and event invitations. Support data entry and internal systems (e.g., SharePoint, ServiceNow). Event & Culture Support Help plan and set up team lunches, celebrations, and company events. Assist with employee engagement activities and wellness programs. Partner with vendors and caterers for onsite events. Collaborate with building management on maintenance and safety issues. Support sustainability and green initiatives. Assist the Facilities team with compliance checklists and projects. Help manage vendor relationships, deliveries, and service contracts. High-Level Responsibilities Serve as a key point of contact for all office-related matters. Support the Office Manager to ensure efficient office operations. Assist in implementing company policies, safety standards, and procedures. Respond to urgent issues such as alarms, emergency access, or building concerns. Contribute to a positive, inclusive, and professional workplace culture. Interact comfortably with high-level executives. Qualifications

Top 3 Required Skills: Strong customer service and hospitality mindset. Excellent interpersonal and communication skills; a true team player. High attention to detail and accuracy. Experience: 2+ years of proven experience in an Office Administrator, Coordinator, or Manager role (or equivalent). Education & Certifications: Soft Skills (Ideal Candidate): Strong organizational and planning abilities. Flexible—able to manage both independent and collaborative projects.
