JR1000030395**Hours of Work :**8am - 5pm**Days Of Week :**M-F**Work Shift :**8X5 Day (United States of America)**Job Description :**Job Purpose:In conjunction with the Vice President of Graduate Medical Education & Designated Institutional Official, oversee and administer Methodist Health System’s accredited residency and fellowship training programs to ensure that all are in full compliance with accrediting bodies. Collaborate with VP of GME/DIO to ensure that the sponsoring institution maintains full compliance with accrediting bodies. Collaborate with Finance to complete federal reimbursement reports. Collaborate with Human Resources to meet the HR needs of the trainees and GME Staff Members and employed physicians. Support the mission, vision, values and strategic goals of Methodist Health System and Graduate Medical Education.
Job Requirements, Related Work Experience and Other Skills:* Bachelor's Degree required.* Three or more years of administrative experience, required. Administrative experience in UME or GME, strongly preferred.* Previous experience as a GME Program Coordinator preferred. TAGME certification encouraged.* Human Resource generalist work experience preferred* Demonstrated ability working with confidential and/or sensitive information.* Experience with educational database platforms preferred* Fluent proficiency in Microsoft Office Suite.* Must be willing to learn, implement, and be accountable for adhering to institutional accreditation requirements* Ability to set up and run in-person and virtual meetings via Zoom, Microsoft Teams or other assigned platform.* Strong written and oral communication skills* Strong organizational skills* Maintain professional demeanor* Demonstrated ability to work independently with minimal supervision* Consistently displays high level of critical thinking and is detail-orientedJob Responsibilities:
* Demonstrate and maintain knowledge of all rules, regulations, policies, administrative guidelines, and legal issues that affect or govern residency and fellowship programs. Ensure that MHS is in full compliance with all intuitional accreditation requirements.* Assist the Vice President of Graduate Medical Education/Designated Institutional Official in preparing for accrediting bodies' institutional reviews and site visits. Maintain and submit to accrediting bodies all institutional documents within required timeframe.* Assist the Program Directors and Medical Education Coordinators to prepare documentation that is required to maintain compliance with all accrediting bodies.* In collaboration with MHS Legal Affairs, prepare and distribute the Resident and Fellow Physician Employment Agreements to all MHS sponsored trainees each year.* Coordinate the annual new trainee onboarding and orientation events each year. Facilitate the entire process to ensure that all speakers and training sessions are scheduled/confirmed and trainees have met all pre-employment requirements. Prepare, update and distribute the resident handbook. Gather feedback on the orientation process and make recommendations for improvement.* Develop, organize and implement various standing meetings, programs or events, including but not limited to, the monthly Graduate Medical Education Committee meeting; the resident/fellow forum; GME retreat; and the annual resident/fellow recognition day.* In collaboration with Human Resources, provide specific HR support for the GME faculty, residents, fellows and staff, including bi-weekly payroll, medical benefits, and leave information. Monitor trainee compliance pertaining to various MHS requirements, including employee health vaccinations and annual education.* Function as the Learning Management System super-user. Provide orientation and education to GME staff. Serve as the owner of the GME shared network drive and collaborate with Medical Education Coordinators to ensure program and trainee information is maintained and readily available.* In conjunction with the GME leadership, develop and adhere to the annual operating budget for GME Administration. Develop the trainee portion of the Medicare Cost Report and provide information to MHS Finance staff as necessary.* Develop and maintain the organizational framework for GME, including policies and procedures, program handbooks, program requirements, and other reporting requirements. Collaborate with GME leadership in continuous quality improvement initiatives for the Department.* Other duties as assignedMethodist Dallas Medical Center is one of North Texas’ best places to work.
