Summary: Working with the Retreats team and coordinating all aspects of Retreats groups. Glorieta Adventure Camps is looking for a Booking Assistant with a strong work ethic who desires to live and work in a close community. This role involves coordinating bookings for groups (schools, churches, businesses, etc.) under the direction of the Marketing & Bookings Coordinator. The on-site community at Glorieta consists of approximately 120 people year-round, including full-time staff, staff families, and seasonal staff. Glorieta is a beautiful but somewhat remote living environment. Responsibilities
Maintain a personal relationship with Jesus Christ and be a courteous, Christ-like representative in dealings with internal and external customers of the Camp Eagle Family of Camps. Complete all administrative tasks for all groups, including pre-trip scheduling, post-group debriefing, follow-up, surveys, billing and collecting payments, preparing and receiving contracts and deposit forms, schedules, etc. Create, adjust and familiarize yourself with Salesforce to manage opportunities, accounts, payments, and contacts. Make housing, activity, meal, and resource reservations for guests, programs, and events. Communicate with group leaders through email, phone, and in-person interactions. Gather information to determine the needs of all groups and collaborate with hosts to create exceptional experiences. Communicate internal needs to staff and prepare hosts and managers for their groups. Learn new skills and be flexible with time off and evolving policies. Work with groups of all sizes and assist Retreats Manager with quality control (housekeeping, retail, activities, etc.). Create logistics sheets detailing group needs for internal use and build authentic relationships with sponsors, leaders, teachers, guests, and staff. Facilitate tours for future guests and, as trained, assist with front-of-house meal preparation or meal cleanup when others are not scheduled. Aid in purchasing equipment and materials, lead event and program creation, and manage registrations. Provide program gate codes for guests and assist with answering the main line phone and transfers; assist in housekeeping as needed. Support the Retreats Manager and Program Managers with efficiency projects and other required tasks. Participate in guest service as a core staff responsibility; assist with weekend staffing as needed. Qualifications
A vibrant relationship with Jesus Christ and commitment to Scripture. Strong sense of hospitality and customer service. Comfort with phone calls, emails, guest interaction, and public speaking. College degree or higher preferred. Proficiency with technology and spreadsheets; experience with Salesforce is preferred. Ability to work long hours and manage up to 15 events simultaneously. Ability to confront, encourage, and inspire staff toward excellence; professional and friendly communication with guests. Strong administrative and organizational skills; experience with event planning is highly desired. Ability to manage, delegate, and respond to situations in a Christ-centered way; problem-solving and adaptability with guests’ needs. Work Context
Location: On-site at Glorieta, New Mexico. Travel: Occasional travel for recruiting, marketing, or training. Physical Demands: Ability to lift up to 60 lbs, sit at a desk, hike, stand all day, and be willing to get hands dirty. Work Environment: Majority of work is in an office; occasional all-camp projects and exposure to inclement weather conditions. Training: Opportunities for improvement through appropriate training.
