JOB SUMMARY
The Document Controller supports Bay Ltd.’s Quality Department by managing project documentation and ensuring compliance with client and internal standards. This role involves direct interaction with client representatives and cross-training in quality control and inspection documentation. ESSENTIAL FUNCTIONS
Maintain accurate document control logs and reporting tools as directed by the supervisor. Manage the lifecycle of project documents—including verification, recording, approval routing, archiving, and distribution—according to the job-specific Distribution Matrix. Track and manage transmittals and submittals to clients, vendors, and subcontractors. Ensure that documents being distributed are stamped with a controlled document stamp. Manage document versioning to ensure only current, approved documents are used in operations. Support resolution of field issues by identifying and reporting documentation discrepancies. Ensure accuracy of information entered into Bay Ltd.’s documentation systems, both physical and digital. Maintain secure storage and safekeeping of all project records and documentation. Manage incoming and outgoing documentation, including processing, distribution, and archiving. Adhere to Bay Ltd.’s Safety and Quality Policies, exercising Stop Work Authority when necessary. Consistently wear required PPE while working at job sites. Perform additional duties as assigned by management. EDUCATION AND EXPERIENCE REQUIREMENTS
High school diploma or GED required Minimum of 3 years of document control experience or related job duties SKILLS / KEY COMPETENCIES
Knowledge of Procore, Bluebeam, Adobe Software and other Document Control related software is preferred Understanding of manufacturing processes in oil & gas and heavy construction industries Ability to read and interpret blueprints and technical drawings Strong time-management skills, attention to detail, and ability to multitask effectively Proficiency in Microsoft Office Suite preferred Ability to work in a fast-paced, high-pressure environment Ability and willingness to work overtime and weekends as required Strong verbal and written communication skills with clients and team members at all levels PHYSICAL REQUIREMENTS
Moving about to accomplish tasks or moving from one worksite to another Ability to operate job related tools Constantly perform repeating motions that may include feet, leg, wrists, hands and/or fingers Work that includes moving and/or lifting objects up to 50 pounds, carrying at least 30 pounds and up to 150 pounds with help Bay Ltd. is an Equal Opportunity Employer
