The Program Coordinator & Finance Analyst provides administrative support to the Department of History, the Program in Religious Studies, Program in Armenian Studies, Jewish Studies Minor, and Native American Studies Minor. Reporting to the Department of History Manager, the position supports the daily operation of the department and programs in the areas of academic personnel and finance. Primary duties include: Preparation and processing of senate and non-senate faculty appointments, merits, promotions, leaves, and sabbaticals. General finance transactions (reimbursements, purchasing, honorariums, maintaining a balance sheet), Pre and post event support and assists in the management of websites and social media accounts. What It Takes to be Successful
Required: Thorough knowledge in administrative procedures and processes including word processing, spreadsheet, and database applications. Good verbal and written communication skills, active listening, critical thinking, multi-task and time management skills. Interpersonal and work leadership skills to provide guidance to other nonexempt personnel. Technical knowledge with the ability to troubleshoot basic computer issues and perform daily tasks using the MS Office Suite (Outlook, Word, Excel, Teams, PowerPoint) and UCI campuswide systems. Strong skills in short-term planning, analysis, problem-solving, and customer service. Demonstrated experience working with confidential information and using sensitivity, tact and discretion in internal and external communications. Demonstrated Customer Service Skills (effective communication, empathy, problem-solving, patience, and a positive attitude) to provide a positive experience for patrons and guests. Ability to use sound judgment in responding to issues and concerns. Solid communication and interpersonal skills to communicate effectively with all levels of staff verbally and in writing. Solid organizational skills and ability to multi-task with demanding timeframes. Working knowledge of common organization-specific and other computer application programs. Ability to use discretion and maintain confidentiality. Bachelor's degree in related area and / or equivalent experience / training 1-3 years Similar work experience in an academic setting Special Conditions: May be asked to work occasional nights/weekends to assist at annual events on campus.
