The Grants and Contracts Administrator is responsible for managing all phases of CSH’s grants and contracts process, including procurement/solicitation, preparation of formal agreements/documents, securing appropriate financial authorization and signature, maintaining records, and processing disbursements for all grant and contract awards. Sub grants and sub contracts
Ensure that CSH and recipients of pass-through funds comply with government and other financial and administrative requirements. Maintain electronic files for subgrants and subcontracts awarded by CSH, including underwriting of subgrants and subcontracts using appropriate forms. Work with General Counsel as needed. Oversee the subgrant and subcontract procurements and ensure compliance with internal and external requirements. Provide guidance to internal stakeholders on compliance matters and best practices. Review disbursement requests against subgrants and subcontracts to ensure an executed agreement is on file, encumbrances are allocated, and funder requirements are met; investigate and resolve discrepancies. Record expenses related to subgrants and subcontracts into the general ledger in a timely manner. Perform subrecipient management and monitoring in compliance with applicable regulations, including site visits and desk audits. Awards
Review funding award terms and conditions with regional and national program staff to ensure funds are expended in accordance with the terms. Work with General Counsel on grant and contract language to ensure compliance with funding agreements and best practices as necessary. Maintain schedules and backup to ensure the accuracy of grants payable information in the general ledger. Reconcile the grants payable schedule to ledger accounts and prepare monthly journal entries. Review commitments against funding award agreements and budgets as specified by award documentation. Provide data related to grants and contracts to the Manager of Federal Awards and Budget and Financial Reporting Analysts, and collaborate on grant and contract reporting, billing, and forecasting. Serve as liaison to program staff, providing pre-award, award, and post-award coaching, guidance, and support. Additional Duties
Prepare journal entries and other transactions related to subgrants and subcontracts in NetSuite for monthly and year-end reconciliations, including accruals and adjustments; create and maintain purchase orders and vendor bills. Maintain impact and other metric data and ensure its quality. Monitor changes to federal regulation and industry best practices and advise on compliance concerns. How we work

Bachelor’s degree in Finance, Accounting, Business Administration, or a related field preferred. Equivalent experience may substitute for education. 3–5 years’ experience administering municipal, state, and federal contracts; experience with contracts administration, subcontracting, and contract review. Knowledge of nonprofit accounting principles and compliance with federal regulations is a plus. Familiarity with pre- and post-award processes, including proposal, budget, and compliance. Excellent communication, problem solving, analytical, and project management skills. Detail-oriented with a focus on accountability and accuracy. Knowledge of Microsoft Office Suite (Excel, Word, Outlook). Familiarity with NetSuite is a plus. Hybrid work requires access to a secure, high-speed internet connection (preferably wired) at a capacity sufficient to support video, web, and email processing. Minimal travel for subrecipient monitoring/site visits; occasional national travel required. Compensation
