Department Information Colorado’s Office of the State Public Defender (OSPD) is an independent agency within the Judicial Branch of Colorado State Government. Description Of Job We are recruiting for two Administrative Assistant positions in OSPD’s Denver regional trial office. This full‑time, entry‑level role involves routine clerical and receptionist duties in a legal environment following established office procedures. Tasks are performed under direct guidance of an Office Manager or Supervisor while learning office and court procedures and case file management systems. Applicants must have strong interpersonal skills to work with colleagues, court staff, and to provide patient, compassionate service to indigent individuals charged with criminal offenses.
Primary Duties And Responsibilities
Performs general reception duties, including answering phones with multiple lines, screening calls, taking messages, and referring callers to appropriate personnel.
Greets and assists onsite visitors such as clients, coworkers, and agency personnel, providing general information about attorneys and scheduled court dates, and maintaining the reception area.
Regularly checks the main voicemail and email inbox during scheduled hours, responding to or forwarding communications to appropriate parties.
Assists persons applying for representation, explaining the application process and ensuring submission of complete documents, reviews applications, verifies completeness per eligibility guidelines, and processes them per State and regional policies.
Opens, enters data, updates, and may close client files in the online case management system; moves hardcopy files to/from the closed file room per policy.
Uses court or local jurisdiction internet sites to search client case information.
Processes incoming and outgoing mail, performing routine clerical tasks such as copying, printing, sorting, and distributing forms and documents.
Makes weekly courthouse runs to pick up digital and hardcopy discovery files when e‑filing is unavailable.
Uploads large volumes of electronic documents, files, and media into the online case management database; scans and uploads hardcopy documents.
Attends meetings and trainings as required.
Performs other administrative duties as assigned.
Education And Experience Minimum Qualifications:
Graduation from high school or equivalent is required; no prior experience required.
Knowledge of English language, grammar, and punctuation.
Basic math skills (addition, subtraction, multiplication, division).
Familiarity with standard software applications, such as Microsoft Office Word, Excel, internet browsers, and e‑mail.
Preferred Qualifications
Client/customer service experience in a fast‑paced environment.
Basic clerical and administrative skills, including data entry, uploading electronic files, managing files/records, and answering phones.
Training or experience that provides knowledge of court systems and legal terminology.
Experience working in an environment serving indigent populations.
Spanish‑speaking skills.
