Account Executive Assistant (Property Manager Assistant)
Overview
Responsibilities
Assist with the daily management of a portfolio of cooperative/condominium properties.
Assist with all aspects of building management.
Function as liaison between Boards, residents, building staff, contractors, and Gumley Haft.
Write, prepare, and distribute all memos, notices, and other communications regarding building changes, updates, or property information.
Maintain the accuracy of building and resident files and documents to ensure that accurate electronic records are kept.
Maintain Board meeting minutes and ensure they are produced timely and accurately.
Track property arrears, send arrears letters when appropriate and review and discuss the arrears reports with the property manager when needed.
Answer phone calls, messages, and emails promptly; within a few hours after receipt.
Distribute approved monthly financial reports and other communications to Boards as required.
Oversee all responsibilities pertaining to annual meetings such as preparation of notices, proxies, etc.
Process screening data for prospective building employees.
Work closely with the property manager and reviewing architect when processing apartment alteration requests.
Develop a strong working relationship with accounting, payroll, and closing departments.
Attend board meetings, annual meetings, and other meetings as required.
Conduct business at all times with the highest standards of personal, professional, and ethical conduct.
Qualifications
Two (2) or more years of experience in New York City residential condominium and cooperative property management preferred.
Superior verbal and written communication skills and proven customer service exposure.
Highly organized, consistent, and flexible, and adaptable to change.
Working knowledge of Microsoft Office and Windows environment.
Experience with BJ Murray, AvidXchange, ClickPay, Building Link and Domecile is a plus.
