Executive Assistant to CEO (C-Suite Support)

As our company continues to expand, we are seeking a highly organized, proactive, and resourceful Executive Assistant to provide direct support to our CEO and executive leadership team.
Position Overview
The Executive Assistant will act as a strategic partner to the CEO, ensuring daily operations run smoothly and efficiently. This role goes beyond administrative tasks — we’re looking for someone who can think ahead, solve problems before they arise, and serve as a key point of contact for both internal and external stakeholders.
Key Responsibilities
- Manage complex calendars, schedule meetings, and coordinate travel for the CEO and C-suite team.
- Draft, review, and manage professional communications, correspondence, and presentations.
- Prepare meeting agendas, take detailed notes, and follow up on action items to ensure execution.
- Organize and maintain sensitive files, contracts, and confidential records with discretion.
- Manage expense reports, reimbursements, and budgeting-related administrative tasks.
- Serve as a liaison between the CEO and leadership team, employees, clients, and partners.
- Coordinate board meetings, leadership off‑sites, and company events.
- Track and prioritize strategic initiatives and ensure deadlines are met.
- Support the CEO with research, briefings, and preparation for key meetings.
- Anticipate the CEO’s needs and proactively address potential challenges or opportunities.
- Help streamline workflows and improve administrative processes.
- Support HR or Operations in scheduling, onboarding new hires, or internal communications as needed.
- Coordinate with external vendors, legal, marketing, and other departments.
- Provide general administrative support to the executive team when needed.
Qualifications
- 5+ years of experience as an Executive Assistant supporting C-level executives (insurance, financial services, or related industry preferred).
- Exceptional organizational and time-management skills with the ability to manage multiple priorities simultaneously.
- Strong written and verbal communication skills with impeccable attention to detail.
- High level of professionalism, discretion, and integrity.
- Proficiency in Microsoft Office Suite, Google Workspace, and project management software.
- Bachelor’s degree or equivalent work experience preferred.
