Job Title Admissions Coordinator

Job Summary The Admissions Coordinator supports the admissions department’s activities in the pre‑admission, admission, discharge, and follow‑up processes.

Essential Job Functions

Responsible for bed management, assigning beds according to patient needs and working closely with liaisons for bed assignments.

Contact insurance/payer sources to verify coverage levels and respond promptly and accurately to telephone, written, and electronic inquiries from admissions, providers, and in‑house departments.

Maintain a deep understanding of Medicare, Medicaid, and all major insurance plans.

Verify payor source, including Medicare, managed care, Medicaid, and private insurance.

Spend extensive time on the phone with insurance companies.

Identify significant gaps in coverage and/or high copay or deductible prior to admission.

Review and coordinate with liaison on patient acceptance.

Assist with arrangements and confirmations of all admissions.

Track pre‑admission referral activity daily.

Ensure receipt of all necessary documentation from referring institution.

Obtain authorizations/re‑authorizations as needed.

Document authorizations, denials, or status updates in appropriate systems.

Initiate and complete specified components of the facility admission packet with patient and/or responsible party.

Complete reports, special projects, and other duties as assigned.

Complete Medicaid application in collaboration with family.

Upload clinical information in Point Click Care (PCC).

Other duties as assigned, including serving as backup for concierge role.

Conduct tours of facility for prospective residents, whether walk‑ins or scheduled admissions.

Contact families of potential residents and invite for tour.

Participate in on‑call responsibilities after hours.

Medicaid Specific

Complete and submit agency required forms such as 2515, 2506, and 3008.

Track and submit Medicaid recertifications.

Print and review documentation to be submitted to CARES.

Routinely communicate with community partners such as DCF and CARES on member status.

Document in GO and programmatic software.

Education Two‑year college or combination of education and experience.

Experience

At least two years’ experience in Health Care / Business Development / Insurance.

Familiar with medical terminology.

Excellent interpersonal, coordinating, and organizational skills.

Demonstrated ability to manage multiple tasks at one time.

Licenses/Certifications N/A.

Abilities Required

Ability to function in stressful situations.

Sensitivity and skill required in working with impaired elders and families by phone.

Extensive knowledge of different types of payor coverages and policies.

Exceptional organizational, time management, communication, and telephone skills.

Bi‑lingual (English/Spanish or Creole) a plus.

Proficient computer skills required.

Ability to think critically.

Problem‑solving skills in complex situations required.

Outstanding customer service skills.

Good communication skills.
