- Manage team calendars, schedule meetings/events on their behalf and assist in coordination of various department meetings/events
- Help draft, proofread and send communications to both internal and external stakeholders
- Serve as primary contact for the VP and AVP and assist with meeting planning, including making arrangements for meeting rooms, refreshments, AV equipment, etc., as needed, and facilitate inquiries into department by all constituents
- Manage recurring meetings and events for ACE leadership including interactions with ACE field team members and Global Capability Network colleagues.
- Develop and maintain accurate organizational charts, team/directors/ lists, including addresses (email & physical), phone numbers, etc.
- Execute procedures for onboarding and offboarding ACE colleagues including equipment requests, space planning, and maintaining the ACE email distribution lists and WebEx Teams spaces.
- Report PTO timely for ACE colleagues
- Assist in arranging leader travel as needed, coordinate with other administrative assistants on group travel, including booking and creating itineraries. Prepare expense reports in a timely manner.
- Assist with monitoring ACE email inboxes, including handling incoming requests, monitoring replies and following up on open inquiries.
- Prepare internal presentations using Powerpoint and Word
- Provide general administrative support as needed to the department, including ordering office supplies, shipping and mailing, making copies, answering phones, delivering mail, drafting and typing correspondence, etc.
- Must be proficient in the standard Microsoft Office suite of products, including Excel, Powerpoint and Word. Visio proficiency is preferred.
- High School Graduate/Equivalent is required
- Bachelor's Degree is preferred
- 5+ years of experience in relevant field is required
