Description We are looking for an experienced Executive Assistant to join our team in New York, New York. This role is critical in providing high-level administrative support to ensure the smooth operation of executive functions. As a Contract-to-hire position, the ideal candidate will demonstrate the ability to adapt and excel in a dynamic environment while supporting organizational goals. Responsibilities:
- Manage and maintain executives' calendars, ensuring all appointments, meetings, and events are accurately scheduled.
- Coordinate and arrange travel logistics, including booking flights, accommodations, and transportation.
- Prepare and organize materials for executive meetings, ensuring all necessary documents are available and well-presented.
- Act as the primary point of contact for internal and external stakeholders, handling inquiries and correspondence professionally.
- Assist in drafting and editing reports, presentations, and other documents for executive review.
- Track and prioritize tasks to meet deadlines and ensure the efficient execution of executive projects.
- Support the planning and coordination of special events, both internal and external.
- Maintain confidentiality and handle sensitive information with discretion.
- Monitor and order office supplies to ensure the executive team has necessary resources.
- Collaborate with other departments to facilitate communication and streamline processes.
- Proficiency in managing complex calendars and scheduling systems.
- Strong organizational skills with the ability to multitask and prioritize effectively.
- Excellent communication skills, both written and verbal.
- Expertise in coordinating travel arrangements, including international travel.
- High level of proficiency with office software and tools, such as Microsoft Office Suite.
