Job Description

  • Manage the Outlook calendars and coordinate daily scheduling for three executives
  • Organize and oversee the logistics for meetings and calls, including preparing agendas, conducting preliminary research, creating background briefings, managing and confirming attendee lists, setting up meetings appropriately, and welcoming guests
  • Attend meetings as needed to take detailed notes, track action items, and assist with follow-up by drafting reports, memos, letters, or emails
  • Maintain a current "to-do" list that tracks action items, meetings, calls, emails, and follow-ups
  • Plan and coordinate complex domestic and international travel arrangements, including transportation, accommodations, dining reservations, and event registrations
  • Quickly and accurately update travel itineraries, communicating changes to all relevant parties and monitoring plans closely
  • Provide backup support to the administrative team when required
  • Assist with special projects and events as needed
  • Ensure timely processing and reimbursement of expenses

The Successful Applicant

  • Bachelors Degree is preferred
  • 7-10+ years of experience as an Executive Assistant to C-Suite executives
  • Previous experience supporting a team is preferred
  • Excellent project management skills with the ability to execute, meet deadlines, and work with a sense of urgency to deliver high-quality and accurate results
  • Strong organization and prioritization skills, with the ability to multitask and manage competing deadlines, with excellent attention to detail
  • Excellent verbal and written communication skills
  • Proven experience working effectively independently and as part of a team
  • Advanced level of proficiency in Microsoft Office applications
  • Ability to work Monday through Friday, in-office located near Grand Central
  • Contract to Hire opportunity
