Description About the Firm: Our client is a boutique law firm in New York City, focusing on domestic and international corporate, litigation, and arbitration matters, particularly in Latin America. We are seeking a Full-Time Legal Secretary/Administrative Assistant to support three partners in our Corporate/Latin American Department. Position Overview: This role provides administrative and legal support at the partner level-two partners have full workloads, and the third requires lighter assistance. The ideal candidate is college-educated, fully bilingual in Spanish and English, and highly organized, with strong communication skills and the ability to manage multiple time-sensitive tasks in a fast-paced legal environment. Key Responsibilities:
- Answer incoming calls, schedule conference calls, and respond to emails on behalf of attorneys
- Open and manage new client matters
- Maintain attorney calendars and schedule meetings, conferences, and travel arrangements
- Enter attorney time using Aderant timekeeping and billing software
- Prepare and submit attorney expense reports
- Input, format, and edit legal and business documents
- Complete corporate forms and documentation for bank and brokerage accounts
- Organize and maintain client and attorney files (physical and electronic)
- Prepare and distribute billing invoices to clients
- Monitor and manage deadlines, meetings, and key dates
- Transcribe dictations from computer or Dictaphone
- Update and maintain contact databases and mailing lists
- Handle clerical tasks including FedEx, faxing, scanning, and filing
- College degree required
- Fluent in Spanish and English (spoken and written)
- Excellent verbal and written communication skills
- Highly detail-oriented and organized
- Proven ability to manage multiple tasks under strict deadlines
- Strong sense of discretion and commitment to client confidentiality
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
- Experience with Aderant or similar legal billing/timekeeping systems preferred
