Key Responsibilities
- Deliver exceptional customer service to internal and external stakeholders.
- Manage daily communications via phone, email, and correspondence on behalf of leadership.
- Handle accounts receivable and accounts payable tasks as assigned.
- Coordinate travel arrangements and maintain scheduling logistics.
- Organize meetings, prepare agendas, and record meeting minutes.
- Maintain and update physical and digital filing systems.
- Utilize Microsoft Office Suite (Word, Excel, Teams, Outlook) for documentation and reporting.
- Support the day-to-day operations of the Massachusetts Firefighting Academy with professionalism and confidentiality.
- Proven experience as an Executive Assistant, Administrative Assistant, or similar administrative role.
- Strong organizational and multitasking skills with attention to detail.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Word, Excel, Teams, and Outlook.
- Familiarity with accounts payable/receivable processes preferred.
- Ability to manage sensitive information with discretion.
