This leading capital markets firm is seeking a highly organized and proactive Administrative Assistant to support the Investor Relations team. This role is fully onsite in the Greenwich, CT office and requires someone who is detail-oriented, professional, and able to thrive in a fast-paced, client-facing environment. The Administrative Assistant will play a key role in ensuring smooth day-to-day operations for the Investor Relations function.
This organization is a leading global credit investment firm that specializes in direct lending, capital solutions, and real estate lending. They’re hybrid in the office Monday-Wednesday, remote Thursday and Friday unless an event requires the team onsite.
Description
Provide high-level administrative support to the Investor Relations team, including scheduling meetings, maintaining calendars, and coordinating travel arrangements
Handle heavy meeting coordination across multiple time zones, including investor calls, roadshows, and presentations
Prepare meeting materials, presentations, and briefing documents for the team
Assist with tracking investor communications, updating CRM systems, and maintaining investor contact lists
Process expenses and invoices in a timely manner
Answer phones, manage correspondence, and act as a point of contact for internal and external stakeholders
Support in organizing investor events, conferences, and quarterly/annual meetings
Ensure compliance with confidentiality and regulatory standards in all investor-related activities
Perform other administrative duties as assigned to support the team's efficiency and effectiveness
Profile
5+ years of administrative or executive assistant experience, ideally within financial services, investor relations, or capital markets
Strong organizational skills with the ability to multitask and prioritize in a fast-paced environment
Excellent written and verbal communication skills
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); CRM system experience is a plus
High level of professionalism, discretion, and attention to detail
Comfortable working onsite full-time in Greenwich, CT from 7:30 AM - 5:00 PM
