Executive Assistant
to support our CEO onsite at the Circuit of The Americas (COTA) office in Austin, TX. This role is ideal for someone who is organized, proactive, and thrives in a fast-paced environment. You'll serve as a trusted partner to the CEO, managing a wide range of executive-level tasks while maintaining the highest level of confidentiality. If you're detail-oriented, tech-savvy, and enjoy keeping operations running smoothly, this is the role for you.
Key Responsibilities
Serve as a trusted partner to the CEO, managing a wide range of administrative and operational tasks
Oversee calendar management, including complex scheduling, prioritization, and coordination of meetings
Book domestic and international travel arrangements, including flights, accommodations, and ground transportation
Draft, edit, and manage key documents such as contracts, correspondence, and reports
Take detailed meeting notes and ensure timely follow-ups on action items
Maintain the highest level of confidentiality while managing sensitive information
Utilize AI tools for transcription and streamline processes for efficiency
Collaborate on special projects and assist with initiatives that impact the broader organization
Assist with day-to-day executive support as needed
Qualifications
Bachelor's degree in Business or a related field required
Legal exposure preferred (or relevant coursework for recent graduates)
Strong writing and communication skills
Highly tech-savvy and comfortable learning new tools quickly
Ability to travel domestically and internationally as needed
Exceptional organizational skills and attention to detail
Demonstrated professionalism and ability to maintain confidentiality
Preferred Skills
Prior experience supporting a C-level executive
Knowledge of contract processes or legal documentation
Familiarity with AI transcription tools and emerging technologies
