What You Will Contribute We are seeking a detail-oriented and proactive Sales Operations Coordinator to support our Sales Operations Department in managing customer communications, project documentation, and internal sales processes.

Job Duties

Customer & Contractor Communication

Manage incoming telephone calls and respond to inquiries professionally.

Handle pre-sales correspondence, support customer engagement and sales readiness.

Develop and send basic part quotes, ensuring timely clear communication.

Maintain organized records of customer interactions and quote activity.

Project & Document Management

Initiate new project folders on the company’s fileserver for each new opportunity.

Order and/or download project plans and specs, share with internal teams.

Forward civil drawings for radio studies and track status against quote due dates.

Maintain a distribution list for quote requests from contractors during estimation.

Sales Process Coordination

Send completed project quotes to contractors and prepare Sales Agreements via DocuSign.

Create and update sales opportunities in Salesforce CRM for pipeline visibility.

Initiate sales orders in ERP upon receipt of purchase orders or agreements.

Distribute daily updates to stakeholders highlighting new and modified customer orders.

Education and Experience

Associate degree in Business, Project Management, or a related field (preferred).

3+ years of experience in a related field (desired).

Qualifications

Proven experience in sales support, operations coordination, and administrative functions.

Highly organized, adept at multitasking, thrives independently and collaboratively.

Excellent written and verbal communication skills.

Proficient in Microsoft Office Suite; working knowledge of ERP systems and DocuSign.

Strong organizational and time management skills.

Detail-oriented with proactive problem-solving mindset.

Experience with project management tools a plus.

Working Conditions

On-site position located in Melbourne, Florida.

Work performed in an office environment requiring standard office equipment.
