Job Summary Under the direction of the Business Office Manager, responsible for daily maintenance of the surgery schedule, insurance verification, scheduling, financial counseling, patient calls, chart building, and overall business office coverage. This role requires outstanding multitasking, communication, teamwork, and the ability to thrive in a fast‑paced environment.
Duties and Responsibilities
Verifies insurance prior to patient’s arrival, including add‑ons and direct admits.
Obtains pre‑certification from insurance companies for procedures that require it.
Requests office notes from referring physician if needed for authorization.
Calculates and informs patients of amounts due.
Communicates with the doctor’s office.
Ensures all required forms are placed in designated areas of the patient’s chart.
Prepares charts for next day’s surgeries within required deadline (no less than 3 days prior for all cases scheduled four days or more in advance).
Prepares medical consents for each chart.
Labels necessary documents and adds physician orders.
Conducts outbound collection calls to patients regarding their medical invoice/bill, answers questions, and sets up payment plans.
Utilizes various collection strategies to negotiate payment in full or arrangements within federal, state, and client collection guidelines and laws.
Responsible for patient calls for pre‑collections of patient responsibility.
Maintains HIPAA compliance with medical records maintenance and auditing processes.
Other duties as assigned.
Qualifications
High School Diploma or equivalency.
Minimum 2-4 years of hospital or medical office experience.
Ability to communicate verbally and non‑verbally in a professional manner.
Time management skills to meet high‑paced demand.
Desire to work and improve the hospital as a whole.
Multi‑tasking ability.
Strong medical terminology knowledge.
Excellent phone etiquette and customer service skills.
