Job Summary
The Executive Assistant will provide high-level administrative support to the CEO and leadership team. This role involves managing schedules, coordinating meetings, handling communications and assisting with various administrative tasks to ensure the smooth operation of the executive office. The ideal candidate will be highly organized, proactive, and able to handle confidential information with discretion.
Key Responsibilities
- Administrative Support: Manage the CEO’s calendar, schedule appointments, and coordinate meetings. Prepare and edit correspondence, communications, presentations, and other documents. Handle incoming and outgoing communications on behalf of the CEO.
- Meeting Coordination: Organize and coordinate executive meetings, including preparing agendas, taking minutes, and following up on action items. Arrange travel plans, events, itineraries, and accommodations for the executive team. Driving and delivering on event planning.
- Project Assistance: Assist with special projects and initiatives as needed. Conduct research and compile data for reports and presentations.
- Confidentiality and Discretion: Handle sensitive information with the highest level of confidentiality. Maintain a professional demeanor and manage relationships with key stakeholders.
Qualifications
- Ability to effectively work remotely and off hours if and when needed.
- Proven experience as an executive assistant or in a similar administrative role.
- Excellent organizational and time-management skills.
- Strong communication and interpersonal skills.
- Proficiency in Google Office and other relevant software.
- Ability to multitask and prioritize tasks in a fast‑paced environment.
- Discretion and confidentiality in handling sensitive information.
- A proactive and flexible approach to work.
- High school diploma or equivalent; bachelor’s degree in business administration or a related field preferred.
