Position Marketing Statement

The Office of the State Fire Marshal (OSFM) is accepting applications to fill the position of Office Assistant, Option 2. The agency is seeking to hire an upbeat, friendly candidate who would enjoy greeting employees and visitors to the agency while answering and properly routing incoming phone calls. The candidate will also assist agency divisions with various entry level office duties as needed. As the Office Assistant and employee of the State of Illinois, the selected candidate will have access to state healthcare, benefits, and a pension plan. Essential Functions

Serves as agency receptionist. Types a variety of materials including records, reports, correspondence, and other documents for agency divisions and performs research when requested. Assists with agency mailings and incoming check payments for Fiscal Division. Provides assistance to Legal Division with Freedom of Information Act (FOIA) requests. Monitors weather radio and assists with taking appropriate actions to notify staff of weather conditions according to Agency guidelines. Performs other duties as assigned or required which are reasonably within the scope of the duties enumerated above.

Minimum Qualifications

Requires knowledge, skill, and mental development equivalent to completion of high school and one (1) year related office experience. Requires ability to type accurately at 35 wpm.

Preferred Qualifications

Prefers two (2) or more years of professional experience in an office setting. Prefers one (1) or more years of professional experience preparing, typing, and proofing various types of reports and correspondence. Prefers two (2) or more years of experience in the utilization of MS Word, Adobe, Excel, and Teams or other similar software programs.

Conditions of Employment

Requires a current and valid State ID. Requires the ability to pass a background check. Requires the ability to travel with overnight stays as appropriate. Requires the ability to pass drug screening. Overtime is a condition of employment and you may be requested to work overtime including scheduled, unscheduled, or last-minute overtime. Requires ability to attend seminars, conferences, and trainings to stay current on methods, tools, ideologies, or other industry related topics relevant to the job duties. This position is considered sedentary work as defined by the U.S. Department of Labor (20 CFR 404.1567(a)). Sedentary work involves lifting no more than 10 pounds at a time and requires occasional lifting, carrying, walking, and standing.
