Client Services Coordinator
role at
Hillcrest Children & Family Center . This position reports to the Practice Administrator and may receive day-to-day direction from a program manager. The incumbent may be assigned to the Addiction Program, Adult Services, or Children Services. The role involves a high level of customer service, documentation, and interaction with employees, clients/families, and external entities. The position manages front desk operations and tracks activities that lead to billable transactions. Duties & Responsibilities
Support clients, physicians, and behavioral health providers by performing intake functions to ensure quality services and proper payer establishment for payment. Assist with intakes, authorizations, enrollment, scheduling, and continuity of care for new and enrolled clients. Welcome clients and support family and client engagement; manage front desk flow and ensure smooth transitions from request to service delivery. Coordinate with psychiatrists and other providers to ensure visits are complete, documents signed, and future appointments scheduled; collect co-pays as needed. Advocate for clients by coordinating care with service providers/programs to secure timely appointments and provide alternative resources as appropriate. Manage data and generate periodic reports on encounters, demographics, kept appointments, cancellations, etc. Secure prior and re-authorizations for services as necessary. Support intake, access, authorization, and scheduling processes; assist with filing of client health information; ensure privacy and security of PHI per HIPAA. Provide high level customer service to patients, staff, and referral sources; maintain waiting areas; prepare continuity of care reports; participate in quality improvement activities and committees. Provide administrative and program support to assigned programs; maintain knowledge of insurance and benefit eligibility for Hillcrest payers (e.g., Medicare/Medicaid, HSCSN, HSCSN, Charter/Beacon, DMH), and other related payer information. Work Schedule
Position is 40 hours per work week. Flexible hours are required between 8:00 a.m. and 8:00 p.m., including Saturdays and weekends on rotation. Qualifications
Associate degree preferred in Medical Billing/Coding, Business Administration, Healthcare-related field, or at least 3 years of healthcare experience. Medical office experience, preferably in Substance Abuse and Behavioral Health, with at least 1 year of experience. Data entry experience; minimum 40 wpm with accuracy; ability to multitask and stay organized. Proficient in Microsoft Office Suite (Word, Excel, Outlook); knowledge of computer systems. Strong attention to detail and proven customer service skills. Knowledge of Medicare/Medicaid or other insurance benefits and claims processes; strong oral and written communication skills. Benefits
