POSITION SUMMARY The Executive Assistant will be engaged in a fast-paced and innovative organization with a high performing team. They will be responsible for providing comprehensive administrative, office management, and human resources support across the company. This role requires a proactive, detail-oriented individual who thrives in a dynamic environment. The Executive Assistant will support multiple executives and teams, manage office operations, coordinate cross-functional projects, and assist with employee engagement and HR processes. DUTIES & RESPONSIBLITIES This position will work closely with SunShare’s leadership team while supporting company-wide operations and employee experience. The Executive Assistant will be a key partner in ensuring smooth day-to-day functionality and strategic support across departments. Support multiple executives and their teams Calendar management, travel coordination, and strategic administrative support Plan and execute meetings, events, and executive offsites Expense reports and reimbursements Provide occasional personal assistance and support Maintain day-to-day office functionality and inventory Receive, scan, and distribute incoming mail and packages; facilitate outgoing USPS and FedEx Source and manage vendor relationships, software systems, and office operations Procure and set up employee IT equipment Administer company programs, accounts, and software; provide support as needed Purchasing and light accounts payable support Coordinate signature execution of land leases, contracts, and legal documents Partner with legal teams to provide research and administrative support on agreements, compliance matters, and corporate transactional documents Coordinate cross-functional project activities, supporting PMO, development, and construction teams Assist sales and customer support teams with event prep Plan and coordinate company all-hands meetings, events, and parties Assist leadership and HR with employee onboarding and offboarding processes Drive employee engagement through gifts, rewards, happy hours, and celebrations Maintain inventory of branded swag and new hire packages; collaborate with marketing Maintain confidentiality with sensitive company and employee information QUALIFICATIONS Bachelor’s degree or equivalent experience in business administration, communications, or related field Prior experience supporting executives and managing office operations Strong organizational and multitasking skills Proficiency with Microsoft Office Suite, Google Workspace, and project management tools Attention to detail and good problem-solving skills Professional, friendly, curious, energetic team player Tenacity and a positive mental attitude A desire to grow within the solar or renewable energy field strongly preferred. COMPENSATION & BENEFITS Base salary of $57,500-$65,000, depending on experience. Additionally, every full-time employee of SunShare receives stock options in the company, with the goal of allowing employees to participate in the increased value that they create. This position includes a competitive benefits package. Benefits include health, dental and vision insurance benefits with up to 100% of premiums covered by the company, company sponsored disability coverage, company sponsored life insurance coverage, eligibility to participate in a 401(k) plan, and eligibility to participate in SunShare’s stock option plan, as well as paid time off and paid holidays.
