EMCOR Mechanical Services has opportunities for an
HVAC Account Coordinator/Operations Coordinator
to coordinate HVAC maintenance services under the EMS HVAC National Account Team. This position is located in Tempe, AZ. This is a hybrid position which requires 3 days in office. Under general supervision, this position will be wholly responsible for all aspects that pertain to your designated customer accounts. Conduct telephonic and electronic follow up and closing functions for open work orders on dedicated National/Supplier Management Accounts to meet the contractual obligations of each client. The intent is to ensure work orders are completed to standard and on time. This role involves daily customer communications, including keeping customers informed of work performed, providing timely updates, and handling escalations. This is the main point of contact for designated customers and also processes accounts payable, billing, and service provider escalations/issues for designated customers. Essential Duties And Responsibilities
Perform administrative support including placing orders, vendor management, scheduling, reporting on, purchase order coordination, and dispatching of work orders. Provide administrative, technical direction, and oversight to subcontracts in completing work assignments. Respond to requests for maintenance and repair of facilities including HVAC, security components, IT equipment, and emergency situations affecting facilities. Maintain a strong safety program within EMS Guidelines. Maintain proactive and efficient communications with employees, management, contractors, customers. Accurately conduct daily/weekly reporting on open work orders for supervisor review. Communicate regularly with service providers to obtain work order updates. Communicate with supervisor on the work performed. Attend weekly staff meetings and safety training. Qualifications
2+ years’ experience in facilities maintenance, property management and customer service roles is required. 2+ years’ experience in managing service delivery for trades labor specific to Heating, Ventilation, Air Conditioning, and/or Refrigeration is required. Exemplary written, verbal and interpersonal communication skills. Experience creating, reviewing, and presenting materials for customer-facing meetings. Associate’s degree or equivalent experience. Advanced proficiency in MS Windows applications, including MS Excel, Word, and PowerPoint. Proficient in pivot tables, VLOOKUPs, data filtering, and trimming formulas in Excel. Typing speed of at least 50 wpm and good writing skills. Must live within commutable distance to the Tempe, AZ office. Must be able and willing to work a hybrid schedule with 3 days in the office per week. About Us & Notices
