Overview
Performs clinic support in both the clinical and administrative areas. In the clinical area, the practice assistant, under the direction and supervision of a licensed Nurse or Provider, participates in the delivery of patient care in accordance with hospital policies, procedures, protocols, and standards of practice. In the administrative area, the practice assistant gathers patient information for registration, schedules appointments, verifies demographic and financial information, and assists in facilitating patient flow throughout the ambulatory setting. Under the direction of the licensed Nurse or Provider, performs a variety of appropriately delegated patient care interventions for patients and their families. Collaborates with the licensed Nurse/clinic manager, as a member of the interdisciplinary team throughout the shift to determine appropriate work assignments and priorities, communicates status of delegated task completion and outcome of patient data findings, and maintains timely ongoing verbal communication. Monitors patient flow including waiting room activity and communicates wait time updates to patients; informs nursing staff, technical staff and/or supervisor of arrival of patients. Conducts pre-visit chart review and preparations for upcoming visits, including identification and documentation of patient care needs based on clinic guidelines and protocols (e.g. live interpreter needs, Hoyer-lift); enters orders for labs and tests to be completed at upcoming visit per clinic guidelines and protocols. Greets patient in waiting room and escorts to exam room. Uses recognized and accurate medical terminology and abbreviations for all documentation, per hospital policy. Assists with intake process in areas determined by departmental needs: checks two patient identifiers, collects and documents vital signs, chief complaint/reason for visit, and medical/family/social history; enters allergies and smoking status; documents current medications and prescriptions to be renewed; obtains immunization records/history and enters findings into the patient medical record; instructs patient on how to prepare for provider visits; anticipates/sets up special equipment and supplies needed for visit; exposes patient to population health management screens and questionnaires (e.g. PHQ2) and records in the medical record; arranges refills information for provider approval; downloads glucometer and other device data for provider review; alerts the provider when the patient is ready and communicates abnormalities in findings; complies with documentation standards to ensure a complete and accurate patient record; updates patient pharmacy information; collects, labels, sends and may deliver specimens with appropriate laboratory slips and requisitions; Identifies emergency/crisis situations and initiates appropriate response actions within the scope of the role, including communication to the licensed Nurse/Physician. Maintains competence of tasks and performs technical skills which may include: cast/splint care; guaiac, sugar and acetone testing; glucose finger stick; external monitors; GU irrigation setup; routine EKGs; hearing tests; point-of-care testing (e.g. glucometer, pregnancy test); peak flow; visual acuity; vital signs; oxygen saturation by pulse oximeter; personal glucometer downloads; leg/girth measurements; biopsy and procedure tray setup; urine culture prep; simple dressing changes; suture removal; specimen collection; phlebotomy; basic skin care; wound care with proper precautions and, when required, arrangement for RN presence for wound assessment. Assists with minor procedures limited to setup and breakdown of simple sterile procedures (e.g. sterile biopsy) under direction of the nurse or provider, including draping and prepping the patient; examples include endometrial biopsy, IUD insertion/removal, pelvic exam, incision and drainage, punch biopsy, colonoscopy, suprapubic tube changes. Supports patient equipment care, including changing batteries and applying splints/prostheses; helps complete patient visit by printing disposition forms and patient education materials; assists with staging prior authorizations for medications or supplies; adheres to isolation procedures as initiated by licensed personnel. Performs initial cleaning/decontamination of equipment/materials and instruments; checks inventories and restocks; restocks and assembles patient equipment and supplies. Uses the care team’s population health management registry or other applicable database for preventative care outreach, including reviewing patient data, reminding patients of test/screening needs, and displaying registry data; alerts licensed staff of broken or non-functional supplies and prepares supply order forms. Maintains patient confidentiality in all endeavors. Assist With : Chronic wound treatment, MOHS surgery, excisional surgery, laser treatment, cosmetic procedures (peels, fillers), urodynamic studies, flow rate/voiding trials, low-dye taping, phototherapy and PUVA. Perform : Suture removals, phlebotomy. Clerical Support : Performs duties associated with an Ambulatory Services Representative, including registration, scheduling, and collecting co-payments. Gathers and assists patients with registration information; ensures accurate data entry and updates in the computer system (demographic, billing, and patient payment data). Verifies third-party insurance coverage; obtains prior authorization when necessary and enters data into the hospital billing system. Adheres to internal collection and cash control policies; collects payments at time of service. Directs patients with financial concerns to staff for assistance with applications; creates and/or obtains medical records and distributes copies; assigns medical record numbers and coordinates with Medical Records for duplicates. Maintains clinic files and patient records; screens charts prior to appointments; verifies lab results, x-ray results, and other pertinent information. Uses computer terminals to access/input patient information, lab results, and other requests; communicates findings to the healthcare team. Manages chart stamping, file preparation, clinic notices and correspondence; cross-books linked appointments (social services, interpreters, etc.); reschedules canceled or bumped clinic sessions; enters charge codes and updates diagnosis codes as directed. Tracks and arranges return of borrowed equipment; maintains equipment logs and records; conducts preventative inventory management. Utilizes registries for outreach and ensures ongoing preventative care communications. General Duties Provides age-appropriate care; orients new staff; supports float pool staff. Adheres to hospital standards of performance, patient rights, and customer service; fosters a respectful, collaborative work environment. Respects hospital culture and RESPECT attributes in decision making and aligns with mission and goals. Advanced Administrative Duties Schedules urgent patients for immediate evaluation; completes billing batches for advanced clinical activity; maintains special procedure and sub-specialty lists and areas, including inventory and equipment maintenance; ensures vendor relationships and coordinates equipment service; performs other duties as assigned. Work Rules, Standards, And Competency Compliance Maintains a professional appearance and wears hospital ID; supports changing patient and unit needs; coordinates breaks with the unit schedule. Collaborates with nurse manager/clinic supervisor to maintain standards and resolve conflicts; seeks feedback and participates in quality improvement and education activities; maintains required certifications and competencies. Attends staff meetings and reviews minutes when unable to attend; remains current on equipment, procedures, and programs; complies with safety, infection control, and regulatory requirements. Education Job requirements include a high school diploma or GED plus at least one of the following: Successful completion of a medical assistant program; or Successful completion of a clinical rotation within a medical-surgical program. Equivalent combinations of education and healthcare-related work experience may be considered. Experience Requires at least two years of previous work experience; experience in a clinical setting is preferred. Knowledge And Skills Must pass clinical competency testing. Ability to speak, read, and write English; perform basic math and measurements (e.g., height/weight, urine output).
