About the Job
This position manages the Department of Horticultural Science and Department of Agronomy & Plant Genetics' undergraduate programs student services functions. It works with department heads, Directors of Undergraduate Study (DUGS) and instructional faculty and staff in recruiting, admissions, registration, program management, retention, and administration of the Department of Horticultural Science. The role may include managing all undergraduate, MAST and temp/casual hiring, developing improved procedures, and clarifying policies related to undergraduate education.
This is a 12‑month, 100% time Civil Service, hourly position with a work schedule on campus M–T, 8:00 AM–4:30 PM, and remote work on Fridays.
Job Duties Academic Program Management (60%)
Oversee course-related issues with department heads and program directors for Plant Science, Sustainable Agriculture and Food Systems, horticulture minor, Agronomy minor, Food Systems minor, and sustainable agriculture minor. Responsibilities include:
Course administration and scheduling (4000 and below) in CourseDog, approvals, descriptions, evaluations, textbooks, and field trips.
Draft, review, and finalize class schedule offerings with program chair and instructors.
Coordinate cross‑listed courses with Graduate Program Coordinator.
Manage directed studies process and final grade submissions.
Manage course fee budgets and allocations.
Compile student data for curriculum and course decisions.
Provide programmatic and student data and reports using University systems (PeopleSoft, APAS, UMReports, etc.), perform student record updates, and manage data queries for course planning and curricular planning.
Ensure highly sensitive and confidential student data is communicated and managed properly across applications and platforms.
Apply FERPA and serve as a reference for faculty and staff regarding FERPA questions.
Lead scholarships and fellowships process for undergraduates (PLSC and FDSY) and departmental scholarships for graduate students.
Undergraduate Recognition & Recruitment (15%)
Partner with communication staff to increase student engagement and promote program courses.
Serve as a point of contact for undergraduate events.
Develop, coordinate, and plan events and recruitment events for majors.
Employment and Personnel Management – Hourly Hires (15%)
Manage hourly hires (undergraduates, temp, casuals, and MAST), ensuring paperwork is completed and audits appointments once entered.
Collaborate with faculty and staff to determine hiring needs.
Administrative Support (10%)
Assist students, staff, and faculty with department administrative responsibilities, including mailings, shipping/receiving, FedEx, parking validation, room scheduling, and small‑scale facility maintenance requests.
Manage key database, requests, and issuance.
Qualifications Required Qualifications
BA/BS, or equivalent experience totaling at least four years.
Experience working in an office setting.
Excellent interpersonal and communication skills; ability to collaborate with diverse audiences.
Proficiency with Microsoft and Google suites; willingness to learn new systems.
Demonstrated ability to work independently and as part of a team.
Preferred Qualifications
Experience in reception or customer support roles.
Experience coordinating complex administrative activities involving multiple stakeholders.
Experience planning and coordinating event logistics.
Experience in higher education or academic setting.
Experience administering academic programs and services for postsecondary students.
Pay and Benefits Pay Range:
$26.50 – $27.50 per hour; depends on education, qualifications, and experience.
Time Appointment:
100% Appointment.
