Air Systems Engineering is seeking a Commercial HVAC Install Project Coordinator. This role is responsible for supporting the planning, scheduling, and execution of commercial HVAC installation projects from start to finish, serving as the central point of communication between project managers, field crews, vendors, and customers to ensure installations are completed on time, within budget, and in line with quality and safety standards.

Key Responsibilities Project Coordination & Scheduling

Coordinate and schedule project timelines, equipment deliveries, subcontractors, and field crews.

Track project milestones and proactively adjust schedules to avoid delays.

Maintain up-to-date project documentation.

Communication & Collaboration

Serve as the primary liaison between customers, internal teams, and external vendors.

Communicate project status updates, changes, and issues to team.

Support field teams by ensuring they have the correct plans, equipment, and materials before work begins.

Administrative & Financial Support

Manage purchase orders, material requisitions, and delivery tracking.

Document change orders and coordinate approvals.

Assist in project billings.

Compliance & Quality

Ensure all projects adhere to company standards, safety guidelines, and customer specifications.

Support preparation of closeout documents, warranties, and O&M manuals.

Help facilitate inspections and ensure punch list items are resolved.

Qualifications Required

2 years of experience in construction, HVAC, or mechanical contracting (project coordination or related role).

Strong organizational and time-management skills with the ability to manage multiple projects simultaneously.

Excellent written and verbal communication skills.

Proficiency in MS Office Suite (Excel, Word, Outlook); scheduling or project management software a plus.

Knowledge of HVAC systems, mechanical drawings, and construction terminology.

Preferred

Experience working in a commercial HVAC, construction, or mechanical service environment.

Familiarity with Procore, Bluebeam, or similar project management tools.

Team player with the ability to work independently under minimal supervision.

Customer-service mindset with professionalism in client interactions.

Working Conditions

Office-based with frequent communication to field teams and vendors.

Occasional site visits to active projects as needed.

Fast-paced environment requiring adaptability and prioritization.

Starting wage range for this position is $25 to $35 per hour
