Position Overview
The Executive Assistant to the CEO provides high-level administrative and operational support to ensure the CEO’s office runs efficiently and effectively. This position requires exceptional organizational skills, discretion, and the ability to manage multiple priorities in a fast-paced, dynamic environment. The ideal candidate is proactive, professional, and capable of anticipating needs while maintaining strong communication across departments and projects.
Responsibilities
Manage and maintain the CEO’s calendar, including scheduling meetings, travel arrangements, and appointments.
Act as the primary point of contact between the CEO and internal/external stakeholders.
Prepare, edit, and organize documents, reports, and presentations for executive meetings.
Track company and project priorities to ensure timely follow-ups and completion of tasks.
Coordinate communication between the CEO, management team, and field operations.
Handle confidential information with professionalism and discretion.
Assist with reviewing and organizing work orders, contracts, and project documentation as needed.
Attend meetings, take notes, and prepare summaries or action plans.
Support in organizing company events, leadership meetings, and special projects.
Monitor deadlines, key initiatives, and ongoing business goals to ensure alignment with executive objectives.
Perform other administrative and operational duties as assigned to support the CEO.

Qualifications
3+ years of experience as an Executive Assistant or in a senior administrative role (experience supporting C-level executives preferred).
Excellent written and verbal communication skills.
Highly organized with strong attention to detail and ability to manage multiple priorities.
Proficiency in Microsoft Office Suite, Google Workspace, and project management tools.
Ability to exercise discretion with sensitive information.
Professional, adaptable, and able to work independently with minimal supervision.
Experience in a construction, or project-based industry is a plus.
