What this job involves

The Workplace Experience Manager is responsible for providing event support and services for the Thousand Oaks site. This position acts as a single point of contact as part of the IFM team, coordinating, delivering, and working with others to manage event services and meeting logistics. The Service Manager owns the meeting/event from inception to completion in coordination and support of Catering, AV/IT and Security. Additionally, this position provides facilities support including building inspections, work order creation, vendor engagement, and field walks. This is a 100% onsite position. What will your day-to-day look like

Customer service interface for all events at the Thousand Oaks site.

Support/generate work requests (via Maximo and/or CrowdComfort).

For computerized systems, support/generate tickets to IS/IT.

Meet with the client, define their role requirements and lead the effort to coordinate with all stakeholders.

Spearhead weekly meetings to review events for the week and upcoming events to ensure no event misses.

Assist with developing the scope for the meeting or event.

Partner with catering and others to identify the best location.

Work closely with Security for site, building and parking access as well as drop-off locations as needed.

Engage the Client with our Help Desk and Scheduler to enter and develop facility work orders.

Coordinate with internal and external vendors (furniture arrangement, food services, janitorial services, etc.).

Work with JLL Facilities to cover maintenance, repairs or requests in support of a ready state.

Ensure no conflicts using Site events calendar, Meeting room Calendars, and IFM Work Order Reports.

Attend meetings as needed in support of the meeting or event.

On the day of the event, act as the single point of contact.

Perform job walk to ensure the event is set up correctly and meets expectations.

Meet with key stakeholders to confirm meeting or event is set and provide best point of contact to keep open communication while the meeting or event is taking place.

Act as POC during times of meetings/events.

Assist the Facility Managers in delivering services to operate and maintain the property including customer/client services, financial management, facility maintenance, procurement, and supplier management.

Develop client relationships with key representatives to support clients\' goals and objectives.

Maintain client satisfaction with delivery of Facility Management services and support programs.

Demonstrate collaboration and teamwork within the account team, including driving the development and implementation of IFM best practices and innovations.

Coordinate events across the campus.

Negotiate space and conflicts with clients and partners.

Assist with miscellaneous site logistics/coordination for parking, entry requirements, and general site info to be shared with the client lead and attendees.

Manage Site Events Calendar, coordination, and approvals to ensure no conflicts across the ATO site.

Meet, greet, and walk with the requestor for event planning.

Follow up and provide status updates to the requestor.

Ensure area/room is reset after the event is completed.

All other duties assigned.

Required Qualifications

High school diploma or GED equivalent.

Experience working in a regulated work environment.

3+ years of customer service experience in a professional business environment dealing with the public in person and on the phone.

Excellent communication, client service, and follow up skills.

Proven ability to work without direct day-to-day supervision.

Excellent customer service, and teamwork skills; able to build and maintain relationships.

Excellent coordination skills with multiple vendors and services.

Ability to diagnose problems, make sound decisions, prioritize, schedule and complete multiple tasks.

Preferred Qualifications

Familiarity with a cGMP environment.

Experience using CMMS or work order software.

Thousand Oaks, CA Work Environment

The employee must regularly push/pull up to 10 pounds, frequently push/pull up to 10-25 pounds.

Staff will perform a mixture of computer work and physical work (walking, moving furniture, etc.).

Estimated compensation

Estimated compensation for this position:

65,000.00 - 80,000.00 USD per year This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations. Location
