Under general supervision, provide a broad range of secretarial and administrative support, including handling confidential information. Execute complex secretarial and administrative tasks and relieve management of clerical work as necessary. Set up and maintain official department filing systems, records, and databases. Prepare memos, correspondence, agendas, minutes, and policy explanations. Collect, compile, and analyze information as required by managers; assist with department reporting and form completion. Assist in budgeting processes, track expenses and variances, and manage invoicing. Screen telephone calls, open mail, schedule appointments, maintain calendars, and coordinate meetings (internal or external). Operate travel arrangements and complete expense reports. Interface with various levels of management across the organization and with external customers. Serve as a point of contact for other departments such as IT, HR, and facilities as needed. Assist with projects as assigned by direct supervisor and perform other duties as required. Qualifications
Education: High School Diploma required; some specialized secretarial training preferred. Experience: Minimum 1–2 years of related experience. Skills: Knowledge of business and technical vocabulary; proficient in Microsoft Office (spreadsheets, presentations, databases); strong organizational and procedural understanding; able to use basic reasoning and analytical skills. Other: Experience handling incoming phone calls and maintaining front office etiquette; professional demeanor at all times. Physical Demands and Working Conditions
