Leave Specialist, Leave Management — 12-Month Temporary Assignment. Schedule: Full-Time, On-Site, Monday - Friday, Business Hours. Compensation: $39 - $43/hour.
Madison Approach Staffing is seeking an experienced Leave Specialist to join our healthcare client's Leave Management team for a 12-month assignment. This senior-level role combines leave administration expertise, compliance knowledge, and leadership responsibilities in supporting a comprehensive leave management program across a healthcare network.
Position Details Position: Leave Specialist, Leave Management
Employment Type: Temporary (12-Month Assignment)
Responsibilities
Leave Administration & Case Management: Oversee comprehensive leave of absence claim management from first notice through closure for the network.
Review and analyze medical documentation to determine eligibility for assigned claims.
Handle complex leave cases requiring advanced judgment based on knowledge, skills, and experience.
Ensure accurate eligibility decisions by reviewing guidelines and applying regulatory requirements.
Maintain accurate records and ensure full legal compliance with all leave documentation.
Integrate multiple leave types (e.g., Workers' Compensation with FMLA) and coordinate with benefits, payroll, and other functions.
Workers' Compensation Management: Act as primary point of contact for injured employees throughout their Workers' Compensation claims.
Serve as liaison between injured employees and Workers' Compensation adjusters.
Analyze and process Workers' Compensation claims by investigating and gathering information to determine compensability and exposure.
Investigate claims to determine injured worker's entitlement to benefits.
Administer indemnity and medical benefits for valid Workers' Compensation claims.
Conduct interviews with injured employees to obtain detailed descriptions of injuries.
Organize and analyze all files and documents related to injured workers and injuries.
Team Leadership & Training: Provide support, guidance, and training to Leave of Absence Specialists on appropriate procedures for all leave types.
Develop and update Leave Management Process Training Manual for new hires.
Train staff on new systems and process documentation.
Provide day-to-day support and development for Senior Leave and Leave Specialists.
Serve as subject matter expert for the leave program under direction of Manager of Leave Management.
Stakeholder Relations & Customer Service: Serve as point of contact for LOA Administrators, Management, Human Resources, Legal, and plan vendors.
Ensure highest level of customer service with supervisors, managers, and employees throughout LOA process.
Provide responsive support and guidance on complex leave matters.
Communicate effectively across all organizational levels.
Reporting, Analytics & Compliance: Develop, generate, and present reports to analyze leave data and trends.
Create and manage dashboard reports for management review.
Track current leaves, returns from leave, and intermittent leave implications.
Provide day-to-day support and insight to Metrics & Performance monitoring mechanisms.
Review, update, and maintain knowledge of all LOA policies to ensure legal compliance.
Ensure proper distribution and integration of policies with all departments.
Participate in continuing education on LOA topics to ensure 100% federal and state compliance.
Systems Management: Maintain integrity of leave systems including ADP, HR systems, time and leave systems, Access, and Excel.
Ensure accurate data entry and system functionality across multiple platforms.
Support system updates and enhancements as needed.
Special Projects: Perform special projects and initiatives as assigned.
Support departmental objectives and organizational goals.
Contribute to process improvements and efficiency initiatives.
What You'll Need Required Experience
Minimum 4 years of extensive administrative experience with comprehensive support background.
Proven expertise in leave administration including FMLA, Workers' Compensation, and other leave types.
Experience with leave management systems and HRIS platforms (ADP experience strongly preferred).
Strong background compiling and analyzing large volumes of information.
Demonstrated ability to streamline processes and maximize productivity.
Experience working in high-volume, fast-paced environments while meeting deadlines.
Bachelor's Degree required.
Master's degree progress may substitute for experience (30 credits = 1 year, up to 4 years).
Technical Skills
Advanced proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
Experience with Access databases.
Comfortable with internet research and website navigation.
Strong data analysis and reporting capabilities.
Ability to learn and master multiple leave management systems.
