Overview
Executive Assistant to the Executive team at Stored Energy Systems LLC (SENS). This role provides high-level administrative support by managing calendars, handling communications, organizing meetings, and ensuring the efficient operation of the executive office. Strong organizational, communication, and multitasking skills are essential. Responsibilities
Calendar Management: Manage and maintain the CEO’s complex calendar, scheduling meetings, travel, and appointments; prioritize and resolve conflicts; coordinate internal and external meetings with prepared materials. Travel Coordination: Organize domestic and international travel arrangements, including flights, accommodations, and transportation; prepare detailed itineraries aligned with the Executive team’s schedule. Meeting Support: Prepare agendas, documents, and materials; take meeting minutes and follow up on action items; handle logistics for virtual and in-person meetings. Communication Management: Act as a point of contact between the Executive team and internal/external stakeholders; manage and filter email communications; draft and review correspondence on behalf of the Executive team. Document and File Management: Maintain an organized system for important documents, files, and records; assist with preparation of reports, presentations, and other business documents. Project Management: Track and follow up on key projects; coordinate tasks and deadlines with team members or other departments to ensure timely completion. Event Planning: Organize company events, board meetings, and other functions; coordinate with vendors and handle logistics for smooth execution. Confidentiality & Discretion: Handle sensitive information with high confidentiality and professionalism. Special Projects: Support the Executive team with various projects, often involving independent research, data gathering, and report preparation. Miscellaneous Support: Provide general administrative support, including managing personal tasks and calls as needed. Qualifications
Required
Experience: Minimum of 5 years as an executive assistant, preferably supporting C-level executives. Education: Bachelor’s degree or equivalent work experience. Skills: Excellent written and verbal communication; exceptional organizational and time-management skills; high attention to detail; ability to manage multiple tasks simultaneously; strong proficiency in Microsoft Office 365 Suite (Word, Excel, PowerPoint, Outlook, SharePoint, Teams) and familiarity with project management tools; strong interpersonal skills to build relationships across organizational levels. Preferred
Experience with event planning and project management. Knowledge of industry-specific software or tools. Ability to work under pressure and meet deadlines in a fast-paced environment. Maintaining confidentiality and discretion at all times. Location
This position is primarily on-site in Longmont, CO with partial remote work available after training. Compensation
Base pay range: $75,000.00/yr - $90,000.00/yr. This range is provided by SENS; actual pay depends on skills and experience. Additional Details
