Position Summary Responsible for assisting the President of McLaren Macomb and other members of the Executive Team as required in the performance of administrative duties without full executive authority. Conducts personal scrutiny, correspondence, and interviews. Interacts with Board of Trustees and executive staff on matters requiring analysis. Makes recommendations on matters requiring authority on behalf of the executive.
Essential Functions and Responsibilities
Shows professionalism and poise as representative of the Administration Department for employees, physicians, staff, and patients and family members.
Handles routine requests and routes to the CEO as required.
Handles all matters discreetly and confidentially.
Screens calls and routes them appropriate.
Maintains calendars, schedules meetings and appointments as required.
Prepares written correspondence on behalf of CEO as required.
Coordinates and prepares detailed information packets for each hospital Board meeting.
Prepares, transcribes, and distributes comprehensive minutes for each Board meeting, plus an abbreviated summary for the corporate Board.
Maintains paper and electronic copies of Board minutes, critical Board actions, and resolutions.
Maintains relationships and assists Board Members with requests outside of Board meetings, such as physician referrals, securing physician and testing appointments for themselves and family members.
Determines and advises the course of action on executive issues on an administrative level and provide direction to the staff.
Uses electronic means to maintain a clear filing process for physician contracts and other importance correspondence. Maintains paper files as required.
Responsible for payroll sign-off for CEO.
Exercises discretion and judgment when referring matters and issues to the President.
Performs other related job duties as required or assigned by CEO and other members of the Executive Team.
Qualifications Required:
Bachelors degree in Business Administration or related field.
Three years prior experience in an Administrative Assistant or Executive Assistant role
OR
High School Diploma
Ten years prior experience in an Administrative Assistant or Executive Assistant role
