The Legal Secretary provides high-level client service and support, producing consistently excellent work. This role requires knowledge of the Firm’s practice areas and specialized knowledge of assigned practices and clients to enhance communication and provide personalized service, supporting attorney/client relationships.
Responsibilities Create, edit, and proofread complex legal documents, forms, and correspondence.
Maintain client/matter lists and communication lists.
Use Outlook for scheduling appointments and maintaining contacts.
Assist with timenote entry, including input, editing, and closing.
Use Intapp software to manage new matters, engagement letters, and conflict reports.
Collaborate with the Client Account Manager and attorneys on billing processes in 3E, including prebills and invoicing.
Arrange conference calls, video meetings, and coordinate travel.
Prepare expense reimbursements, manage invoices, and check requests.
Assist throughout all phases of a legal matter, including trial attendance and support.
Manage case documents, review, organize, and produce documents.
Assist with court filings, ensuring proper citations and assembling exhibits.
Support depositions and trial preparations, including witness and exhibit management.
Maintain professional client relationships.
Coordinate responses to auditor requests and assist with opinion letters.
Qualifications High School Diploma required; Associate’s Degree preferred.
Minimum 3 years recent legal secretarial experience, preferably in a large law firm.
Experience in litigation practices required.
Familiarity with 3E or similar financial systems.
Proficiency with Windows-based software: MS Word, PowerPoint, Excel, Outlook, Mac Pac.
Strong organizational skills and attention to detail.
Excellent communication skills and ability to build client relationships.
Effective interaction with management, staff, and external clients.
Team-oriented with a commitment to client service.
