SUMMARY OF POSITION: This position is a Full-Time position working Monday to Friday. This person will serve as Executive Administrative Assistant to the Executive Director (ED) and the Chief Operations Officer (COO), assisting in the coordination and management of organizational initiatives and projects.

TO PERFORM THIS JOB SUCCESSFULLY, AN INDIVIDUAL MUST BE ABLE TO PERFORM EACH ESSENTIAL DUTY SATISFACTORILY. THE REQUIREMENTS LISTED BELOW ARE REPRESENTATIVE OF THE KNOWLEDGE, SKILL, AND/OR ABILITY REQUIRED. ESSENTIAL DUTIES AND RESPONSIBILITIES: Produce and maintain clear, well-organized records; assist with data entry, reporting data, and other materials on programs and administration in collaboration with the Executive Director and COO Assist in the development of office procedures, filing systems, and other system processes. Act as liaison with internal and external partners such as vendors and consultants, answering and prioritizing requests for communication and contact Assists with the design, preparation, production, and distribution of a variety of organizational forms, flyers, documents, and publications Prioritizes and tracks time-sensitive events and assignments to ensure timely completion Perform administrative and clerical duties to support the work of the Executive Director and Chief Operations Officer. Handles confidential and non-routine information appropriately Attends the PRCC and program-specific and organizational activities and meetings, including but not limited to the monthly organization-wide General Assembly Participates in organizational annual events, including but not limited to the Puerto Rican People’s Parade, Fiesta Boricua, Three Kings Day, and Haunted Paseo Boricua Performs other functions assigned

This position requires compliance with all of The PRCC’s written standards, including its Standards of Conduct, all policies and procedures, and Regulatory Compliance requirements. Compliance will be considered as part of the regular performance evaluation.

Requirements:

QUALIFICATIONS: Advanced proficiency in MS Office Suite (Excel, PowerPoint, Word) Experience in a relevant position Valid driver’s license, proof of auto insurance coverage, daily access to personal vehicle SKILLS: Bilingual - English/Spanish preferred Energetic self-starter with the ability to work well independently and in team settings Excellent oral, interpersonal, written, communication, and project management skills Identify problems and analyze alternatives to develop viable recommendations for projects and assignments Manage time effectively and work within stringent deadlines Exercise good judgment in safeguarding confidential or sensitive information LICENSURE: N/A EDUCATION: Master's degree preferred WORKING CONDITIONS AND PHYSICAL REQUIREMENTS: OSHA Category 3 – Involves no regular exposure to blood, body fluids, or tissues, and tasks that involve exposure to blood, body fluids, or tissues are not a condition of employment.
