Description
Performs high-level professional tasks and provides administrative support for the Housing Department. Performs work in a fast-paced, complex environment requiring the ability to apply principles of logical thinking to practical situations and work tasks, and handle requests made by supervisors, employees, and the general public. Work is performed under the general direction of the Director. Examples of Duties
Handle incoming /outbound phone calls, e-mails, web inquiries; Serve as an assistant liaison within and between departments/ divisions; Enter timesheets for payroll; Assist with IT equipment and other office orders; Compose routine correspondence; Process sensitive or confidential information maintaining confidentiality; Draft Council Information and Action Items, Resolutions and other documents as directed; Update and maintain records for coalitions and committees assigned to the Department, including meeting minutes; Manage schedules for routine and special projects; Assist in planning events (dates, locations, audio visual equipment or other set-up requirements) and coordinate logistics on-site; Provide a high level of customer service, courtesy and professionalism to customers, the public, teammates and supervisors within the department, and colleagues throughout City government; Cover the front desk to greet and assist customers, as needed; Perform designated Human Resources functions, including maintaining documentation and forms (EPAS, Employee Entry/ Change, etc.); Prepare and analyze data for departmental management as needed; and Extensive communication with both Director to ensure work flows smoothly between staff and supervisors and between staff members. Typical Qualifications
Graduation from an accredited college or university with a two-year degree; Five years of administrative level experience and project management in an institutional setting; and Proficient in Microsoft Office applications, especially Excel, Word and PowerPoint; Knowledge, Skills and Abilities:
Ability to learn and enter documents into Granicus Software for Council meetings; Ability to communicate effectively both orally and in writing; Ability to arrange and facilitate meetings, including on virtual platforms such as Zoom, Microsoft Teams, Web x, etc.; Ability to research, compile, prepare or assist in preparing a variety of reports; Ability to design forms, graphs, or charts for departmental use; Ability to follow directions and coordinate work assignments as designated by the Director or Deputy Director; and Ability to work cooperatively and as a team with other Senior Administrative Assistants. Supplemental Information Must be able to lift or move up to 25lbs. and walk up to one-quarter of a mile. This position will work both indoors and, on a limited basis, outdoors and may be exposed to cold, heat, changing weather, adverse smells and sights, loud sounds and long periods of standing and/or sitting.
