We are seeking a proactive and highly organized Executive Assistant to support the Utah Transportation Client Relations Director at our civil engineering firm. This role is ideal for someone who thrives in a fast-paced, professional environment and enjoys juggling multiple priorities while maintaining exceptional attention to detail. The Executive Assistant will primarily support the Client Relations Director but may also assist other team members as needed to help the firm operate smoothly.

What are the core responsibilities for the role?
  • Manage and coordinate a complex calendar, scheduling meetings, and prioritizing commitments
  • Create, organize, and execute task lists to ensure deadlines are met
  • Oversee logistics for internal and external meetings (rooms, agendas, materials, technology, etc.)
  • Attend client and project team meetings, taking thorough notes and capturing clear action items
  • Document meetings, conversations, and follow-ups to keep projects and relationships moving forward
  • Serve as a reliable point of contact for stakeholders, ensuring smooth communication
  • Provide administrative and organizational support to the Client Relations Director and assist other team members as needed
  • Take initiative on projects and anticipate needs before they arise
Qualifications, Skills, and Competencies:
  • 3+ years of experience as an executive assistant, project coordinator, or similar role
  • Strong organizational and time-management skills with the ability to prioritize competing tasks
  • Excellent verbal and written communication skills; ability to document clearly and concisely
  • Proficiency in Microsoft Office Suite (Outlook, Teams, Word, Excel, PowerPoint); experience with project management or CRM tools is a plus
  • Professional presence with the ability to participate confidently in client-facing meetings
  • Positive attitude, adaptable mindset, and a team-first approach
  • Self-driven, resourceful, and comfortable working independently or as part of a team
