Administrative Assistant role at Wellspring, Inc.

SUPERVISED BY: Program Director

HOURS: Full Time at 40 hours per week

BASIC PURPOSE: To provide administrative and support services to client programs. Wellspring is in search of an Administrative Assistant for our Women's Residential program – this is a full-time opportunity with Wellspring’s benefit package. The role suits a motivated individual with strong administrative skills who can provide excellent customer service while working with clients, program staff and the administrative team in a fast-paced environment.

This job description does not cover every duty or responsibility and may be amended at any time by the program director. The classification is non-exempt under the Fair Labor Standards Act.

Responsibilities

  • Interact with clients, other staff and the public in a polite, respectful manner.
  • Manage the agency’s office systems to support clinical and administrative staff, including maintenance of client case records and recording systems.
  • Complete third-party billings (MaineCare, VA, DHHS); verify MaineCare status and continued eligibility monthly; respond to requests for updated information.
  • Facilitate completion of MaineCare and Food Stamp applications.
  • Maintain statistics for reimbursement from funding agencies.
  • Maintain telecommunication systems and the accounts receivable system.
  • Maintain, order and control office supply inventory as needed.
  • Transport clients as needed in the agency vehicle.
  • Assist with scheduling and coordination of appointments and administrative tasks as requested by program staff.

Qualifications

  • Experience in administrative tasks with knowledge of word processing; proficiency in spelling, punctuation and grammar; experience with Microsoft Word preferred.
  • Good organizational and detail-oriented skills.
  • High school diploma required; Associate’s or Bachelor’s degree preferred.
  • Excellent telephone skills and professional manners.
  • Ability to relate maturely and professionally with people in recovery.
  • Ability to protect client confidentiality in all aspects of work.
  • Valid driver’s license and access to a vehicle.
